How to set up the Reviews.io integration with CaptiFi

Follow the steps below to bring your REVIEWS.io reviews (written Reviews.io in this guide) into the Review Inbox and, if you want, to send guests who rate their visit highly to your Reviews.io collection link. How the requests themselves behave (the delay, the star rule, text messages, the 90-day rule and what you receive) is covered on the Reviews page.

Time needed: about 5 minutes.

What this integration does

Your latest Reviews.io reviews are pulled into the Review Inbox, each with the reviewer's name, stars, title and text and an AI-drafted reply. That needs your store ID and an API key from your Reviews.io account.

Optionally, a rating at or above your Minimum stars for a public review can send the guest to Reviews.io. Paste the link Reviews.io gives you for collecting reviews, or your public company reviews page, and Reviews.io joins the destinations under Happy guests review on. Without a link, Reviews.io is inbox only.

Reviews.io is your own subscription; CaptiFi adds nothing to it. If the API card is not in your Reviews.io dashboard, your Reviews.io plan does not include API access.

Before you start

  • A Reviews.io account on a plan with API access
  • A CaptiFi plan that includes review requests (Essentials or above; not on Lite)
  • To send guests there: review requests set up for the venue, with a splash page that collects an email address. The Google Reviews setup guide covers that

Part 1: Copy your store ID and API key

Step 1: Open the API card in Reviews.io

Log in to your Reviews.io dashboard and click Integrations. Open the API card.

Step 2: Copy both values

The page shows your Store ID and your API key. Copy both. The store ID is public (it is the last part of your company reviews page address), so treat only the API key as a password.

Part 2: Enter them in CaptiFi

Step 3: Open the Reviews.io card

Log in to my.captifi.io and click Integrations in the left sidebar. Find the Reviews.io card and click Configure (it reads Manage once the card is connected).

Step 4: Pick the venue

Each venue has its own store, its own link and its own inbox, so choose the venue you are setting up.

Step 5: Enter the store ID and API key

In Reviews.io store, enter the store ID. In Reviews.io API key, paste the API key. The key is write-only: once saved, CaptiFi shows only that a secret is set, with a Replace button if you ever need to change it.

In Reviews.io review URL, paste the link Reviews.io gives you for collecting reviews, or your public company reviews page, which looks like https://www.reviews.io/company-reviews/store/your-store-id. CaptiFi accepts links on reviews.io and reviews.co.uk. Leave the field blank to keep Reviews.io as an inbox-only platform.

Step 7: Click Test connection

CaptiFi fetches your reviews with the store ID and key and reports whether Reviews.io accepted them.

Step 8: Save and check the toggle

Click Save. CaptiFi pulls your latest reviews into the inbox straight away. The Enabled switch keeps the sync running; switch it off to pause it without losing your details.

Step 9: Optional, choose where happy guests go

If you pasted a link in Step 6, pick Reviews.io only under Happy guests review on, or Let the guest choose to show a button for every platform you have set up. This is the same setting shown on your other review cards and on the Review requests tab; there is one per venue. Then open Reviews, go to the Review requests tab and click Send test email to try the flow on yourself.

Part 3: Check the inbox

Step 10: Filter by Reviews.io

Open the Inbox tab of Reviews and filter by Reviews.io. Click Draft AI reply on a review, copy the draft, then click Reply on Reviews.io: it opens your Reviews.io dashboard, where you paste the draft and post it. CaptiFi never posts anything on your behalf.

Troubleshooting

Test connection fails: the store ID or API key is wrong, or your Reviews.io plan does not include API access. Copy both values again from the API card and test again.

The link is refused when you save: the link is not on reviews.io or reviews.co.uk. Copy it again from Reviews.io.

The inbox stays empty: the store has no reviews yet, or the sync is paused. Check the Enabled switch on the card, then click Sync now on the Inbox tab.

The card shows a message under Last error: the last sync failed, and the message says why (most often a key that was regenerated in Reviews.io). Fix it, save, and sync again.
