White label setup

White label is the reseller model with your brand in place of CaptiFi's. Once a client is signed in, their dashboard carries your logo and colour, the main emails about their account and venues carry your branding, their monthly report arrives under your name, and CaptiFi's billing never appears. This page covers what white label includes and how to set it up. For how the model compares with referral and plain reselling, see Partner Programme Options.

What white label includes

  • Your brand on the dashboard. With Brand the client dashboard on, you and your client accounts see your logo (or your name, until you upload a logo) and your primary colour on my.captifi.io instead of CaptiFi's. The browser tab reads "Your Company Dashboard" and shows your icon, and the Help & Support page shows your support email and hides CaptiFi's guides, status page and What's New links.
  • Your brand on the emails your clients receive about their account and venues. The full list is under Which emails carry your brand.
  • Your brand on the monthly PDF report, which has its own toggle.
  • CaptiFi billing hidden from clients. A partner-managed client who opens Billing sees a notice that billing is handled by their service provider, with no plans, prices or card form. The client cannot order a CaptiFi device with a card, buy SMS credits or set up SMS auto top-up either, and an add-a-card link in an older CaptiFi email opens the same notice. You order your clients' devices from their detail page on the Clients page. This applies to every partner-managed client, white label or not.
  • The Powered by CaptiFi credit off your clients' splash pages. With Brand the client dashboard on, your clients can hide the credit whatever plan they are on: turn it off per venue in the splash page editor.

Clients sign in at my.captifi.io. The sign-in page itself is CaptiFi's, and your brand takes over once the client is signed in. Custom domains for the dashboard are not available. Wholesale pricing, clients, margins and the rest of the partner toolkit work exactly as they do for resellers.

Before you add your first client

White label has a go-live checklist. CaptiFi records on your partner record the version of the partner agreement and the version of the data processing agreement (DPA) you have signed, and you can add clients once both are there. Until then, Add client on the Clients page shows a message naming what is missing. Contact your account manager to complete it. Reseller accounts have no checklist.

Where to set it up

Everything is managed on my.captifi.io, on the Branding page:

  1. Log in to my.captifi.io
  2. Go to Partner → Branding in the sidebar (white-label partner accounts only)

Any active staff login can view the page, but only the partner account owner can make changes: staff see it read-only.

Branding settings, field by field

The Brand identity section holds your artwork and colours:

  • Logo appears in the dashboard header, on branded emails and on the PDF report. Upload a PNG, JPG, JPEG or WEBP up to 2048 KB, with a transparent background where possible. SVG files are not accepted. Replace or remove it at any time.
  • Icon is a square version of your mark, used as the browser tab icon on the dashboard. Same formats, up to 1024 KB.
  • Primary colour is a hex value (like #0E7490), applied to buttons, links and accents across the dashboard. Click Save colours after changing it, or clear the field and save to return to the default. The Secondary colour field is saved with your brand, but nothing uses it yet.

The Support details section holds the contact details for your clients:

  • Support email is shown on your clients' Help & Support page. Their support tickets, your health digest and your monthly statement are sent to it, or to the partner account owner's email if you leave it blank. Copies of device alerts and guest allowance warnings for your client venues go to it too, when it is set.
  • Support phone is saved with your brand, but clients do not see it.
  • Privacy policy URL is saved with your brand, but nothing links to it yet.
  • Email footer is the footer line on branded emails, typically your company name and address, up to 500 characters. The emails that show it are listed below.

Click Save support details to apply. Finally, Where your brand shows has the two branding toggles:

  • Brand the client dashboard puts your logo, colour, tab title and icon on the dashboard you and your clients sign in to, and switches your branding on for the emails listed below.
  • Brand PDF reports puts your logo, name and support email on the monthly PDF report. It takes effect only while Brand the client dashboard is on as well.

Changes apply to all your client accounts together: white label is one brand across your whole client base, not a brand per client.

Which emails carry your brand

With Brand the client dashboard on, these carry your logo, name and support email in place of CaptiFi's when they go to one of your clients:

  • The welcome and password reset emails
  • Team invitations a client sends to their own staff
  • Device offline and back-online alerts
  • Guest connection notifications sent to the venue
  • The guest allowance warning a client receives when a venue nears its monthly allowance
  • The monthly analytics digest and the weekly performance report
  • The weekly and monthly report emails, and the PDFs inside them when Brand PDF reports is also on
  • The demo emails you send to prospects from the Demo Maker

Your email footer appears on the device alerts, guest connection notifications, guest allowance warning, analytics digest, report emails and team invitations.

Guests at your clients' venues see your brand in three places: the unsubscribe and re-subscribe pages they reach from a campaign email, the company name merge tag in campaigns, which fills with your brand name, and email automations and workflows, which say "Provided by Your Company" where they would otherwise say "Powered by CaptiFi". Other emails, such as ticket confirmations and review requests, do not carry your brand. Platform emails are sent from CaptiFi's sending addresses, with links to my.captifi.io.

Client support requests

Under white label and plain reselling alike, you are your clients' first line of support. When a partner-managed client submits a ticket from Help & Support on my.captifi.io, it is emailed to your support email, or to the partner account owner's email if none is set, and it does not go to CaptiFi's support inbox. Every ticket is also listed on the Tickets page under the Partner menu. Reply from your own helpdesk or mailbox. If a ticket needs CaptiFi, raise it yourself from your own Help & Support page and CaptiFi supports you behind the scenes.

Sender domains for guest email

Branding covers how emails look; sender domains cover the address they come from. Each client account can verify its own sending domain under Email Marketing → Settings → Sender & domain on the dashboard, so guest campaigns and automations send from the client's own domain rather than a captifi.io address, which also helps deliverability. The steps (sender identity, DNS records, verification) are in the Email Campaigns guide. For a fully white-labelled client, set up their sender domain as part of onboarding.

The minimum monthly commitment

White label carries a minimum monthly commitment, agreed with your account manager when you upgrade. It works as a floor on your monthly wholesale bill: in any month where your clients' wholesale total is below the commitment, you pay the commitment; once your client base grows past it, you pay your wholesale total and the minimum stops mattering. Your Earnings page and monthly statement show when the minimum has applied.

The commitment can start on a date agreed with your account manager. Before that date no minimum applies. In the month it starts, the minimum is prorated by the days it covers, and from the following month the full minimum applies. The Earnings page shows the start date on your monthly bill: see A minimum with a start date.

Who white label is for

White label earns its commitment when the brand is doing work for you:

  • You already resell CaptiFi to a base of clients and support them under your own name.
  • Your clients buy "your" WiFi platform, and a CaptiFi-branded dashboard or account email would raise questions.
  • You want prospect demos, onboarding emails and monthly reports to carry your brand.

If you are earlier than that, start as a reseller: the wholesale prices are the same, there is no minimum, and you can upgrade to white label when the client base justifies it. Contact your account manager to upgrade.
