Guest referrals
From 8 October 2026 Rewards members can invite friends with a link on their rewards page. The friend leaves their email address or mobile number on the link, and when they first sign in to your WiFi with it and join your programme, both of them get the points or offer you set for each side. You choose how many friends one member can bring in a month and how many days a friend has to sign in. Rewards → Guest referrals lists every invitation and what it paid. See Guest referrals.
Visit challenges, the stamp card and badges
From 8 October 2026 Rewards has visit challenges. Choose a number of visits between two days and an offer, such as three visits in October for a free dessert, and each member who gets there is sent the offer. Members follow their progress on their rewards page. See Visit challenges.
A stamps programme can show each member's balance as a stamp card of 3 to 20 spaces, set on Rewards → Setup. The card appears on the member's rewards page, on the welcome back when they return to your splash page, and on their wallet pass. See The stamp card.
Members also earn badges for their first, fifth, tenth and twenty-fifth visits, a visit around their birthday and their first event ticket, shown on their rewards page and on the member's page in the dashboard. See Badges.
Download your guests after cancelling
When an account closes, the screen you see on signing in to my.captifi.io now shows the date your venues' guest data will be deleted, 30 days after the account closed, and the account holder can click Download your guests (CSV) until then. See Cancellation & Returns.
Aruba Instant On: the Redirect URL and allowed domains on my.captifi.io
The set-up details for an Aruba Instant On venue now include a Redirect URL, which takes guests on to the website you choose in CaptiFi, and a reminder to enter your venue's NAS identifier exactly as shown. The allowed domains list adds the two Google Fonts hosts the sign-in page uses. You will find the Redirect URL in the set-up wizard's Copy everything text and in the notes under Controller settings on the venue's card in My Locations. See Aruba Instant On Setup.
Guests pay table booking deposits online
From 7 October 2026 guests can pay a table booking deposit online. A party your deposit terms cover pays by card, Apple Pay or Google Pay when it books, and the booking is confirmed once the payment goes through. A cancellation inside your free window refunds the deposit automatically, and you can refund a deposit from the booking's page, which shows where each deposit stands and every refund made. CaptiFi takes no fee on deposits. See Table bookings.
Choose who gets a venue's offline alerts
Each venue card on My Locations now has Offline alerts. Untick the logins that should not hear when that venue's access points or CaptiFi devices go offline, add up to ten extra email addresses with no login, such as your support desk, or switch the venue's alerts off. Each person still follows their own alert switches on their Profile page. See Offline alerts.
Revinate shows when the last guest was sent
Each venue in the Revinate panel on Integrations now shows Last activity, the time Revinate last accepted a guest from CaptiFi. Test connection now says what it checks, which is the format of your access token, and once guests have been sent it also says when Revinate last accepted one. See Revinate.
Partners: a client picker, private client notes, and Tickets and Activity pages
Partners can now pick the client they are working on from the Viewing selector on the Clients page. The whole dashboard is then scoped to that client, and the banner at the top of each page lets you switch straight to another client. Edit client has a private Notes field, and you can also edit the notes on the client's own page; your client never sees them. See Partner Clients.
Two pages join the Partner menu. Tickets lists the support requests your clients raise, with status, priority, client and venue. Activity shows what your staff did and what changed inside your client venues, filtered by staff member and date. See Partner Tickets and Partner Activity.
A minimum monthly fee can now start on an agreed date. No minimum applies before it, the first month is prorated by days, and the Monthly wholesale bill tile on Earnings shows the date. CaptiFi can also restore a client you removed, move a client to another partner or convert it to a direct customer, and billing follows the client from the move. See A minimum with a start date and Restoring, moving or converting a client.
SMS credits: only the account owner can buy packs or change auto top-up
On SMS Marketing → Credits and billing, the credit packs, the Buy buttons and the auto top-up controls appear for the account owner. Every pack, bought by hand or by auto top-up, is charged to the owner's card and added to the account's one balance. A team member with Manage marketing sees the credit balance, the low-balance warning and the transaction history, and still sends campaigns and automations from that balance. See SMS Marketing.
Sales reports for events
Events now has a Reports page with your ticket sales for any period: totals for each currency, a row per event and a row per day. Net to venue shows what you keep after refunds and disputes. See Reports.
Redeem-only logins for bar and door staff
A new Redeem only role on Account → Team gives bar, trader and door staff a login that opens on Rewards → Redeem and shows nothing else: no sidebar, no search, no notifications, and every other page or request is refused for that account. A line under the role picker now describes each role. Pick it when you invite staff, or change an existing member to it with Edit; adding any further permission later gives them the full dashboard again. See Redeem-only logins.
The booking fee terms in full, and Stripe's dispute fee
Events settings now shows the booking fee terms in full above the accept button. If you accepted the terms before, the card reads The booking fee terms have changed and offers Accept the new terms; paid tickets keep selling meanwhile. The new terms add one thing: Stripe charges a fee for each chargeback, and for chargebacks opened after you accept, CaptiFi recovers it from the venue's Stripe balance and shows it on the dispute's page and the monthly booking fee statement. Order a CaptiFi device for a venue you already have
From 4 October 2026 a venue with no CaptiFi device yet and no WiFi controller connected has an Order a CaptiFi device button on its card in My Locations. The account owner enters a delivery address and a card, the refundable deposit is taken when the order is placed, and the order number and activation PIN show straight away. The card shows the order's status until the device is set up. See Order a CaptiFi device for an existing venue.
Suppressing a guest stops their marketing emails and integration pushes
From 4 October 2026 suppressing a guest under Email Marketing → Settings → Suppressions withdraws their marketing consent at each of your venues where they have signed in. They get no campaigns or automation emails from those venues and are not sent to your connected tools such as Klaviyo or Mailchimp, even if they tick the marketing box again. Removing the suppression gives the guest back the consent they had before it. A guest who unsubscribed themselves stays unsubscribed until they opt in again on your splash page, and an address that bounced or reported your email as spam is not emailed again. Campaigns only go to guests who agreed to marketing, so the campaign builder has no switch for it. In the customer API and webhooks, marketing_consent is false for a guest who unsubscribed, was suppressed, bounced or complained. See Suppressions.
Weekly reports
From 4 October 2026 the Reports page can make a report for a week as well as a month. Under Generate a report, choose Weekly report and one of the last 12 weeks that have finished. A weekly report covers Monday to Sunday and compares it with the week before. In Email reports automatically, each person can now be set to Weekly, which emails them the report for the week just ended every Monday morning. See Weekly and monthly reports.
Have your monthly report emailed to up to five people
From 3 October 2026 the Reports page on my.captifi.io has an Email reports automatically card. Choose up to five people for each venue and whether each gets the report monthly, or quarterly with the quarter's three monthly reports in one email. Monthly emails go out on the 1st, once the month's report is ready, and quarterly ones on 1 January, April, July and October. Each email has a link the recipient can use to stop them. CaptiFi devices move away from busy WiFi channels
From 3 October 2026 the CaptiFi device scans the networks around it when the WiFi is congested, and every 12 hours while no one is connected, then moves to the 2.4 GHz channel with the least signal from them. A device sharing a channel with your own router moves off it. See Does the device choose its own WiFi channel?
Lite, a plan for a single venue
From 3 October 2026 you can choose Lite for a single venue. It costs £19.99, $24.99, €21.99, C$34.99, A$38.99 or NZ$44.99 a month, or £190, $240, €210, C$335, A$375 or NZ$430 a year. Lite covers up to 500 new guests a month, with your branded splash page, GDPR capture, the guest log with CSV export, the QR code generator and email support. It works on your own WiFi (UniFi, Omada, Meraki or another supported controller) or with our WiFi device, which ships on a refundable deposit of £60, $99, €79, C$99, A$129 or NZ$149 depending on your billing currency. The Lite dashboard has eight menu items, and its home page shows how much of the month's allowance you have used, for example "312 of 500 new guests this month". New sign-ups can choose Lite at captifi.io/trial, and it is offered on the Billing page when a trial has ended without a subscription on an account with one venue, no venue on paid WiFi or voucher access and no team members. Essentials now includes review requests and 1,000 marketing emails
From 3 October 2026 Essentials includes automated Google review requests and 1,000 marketing emails a month, at the same price. Set up review requests under Reviews and send campaigns from Marketing. SMS marketing and reservations stay on Growth and above. See Plans & Pricing.
Tickets, bookings and review requests come from your venue
Ticket emails, table booking emails, review requests, automation and workflow emails now come from your venue's name, from your own sending address once it is verified and from a CaptiFi venue address such as the-kings-arms@venues.captifi.io until then, with replies to an address you control. Review requests no longer need a verified sending domain before you switch them on. See Who your guest emails come from.
Cancel or keep your subscription from Billing
The account owner can now cancel from Account then Billing on my.captifi.io. Choose Cancel subscription, pick a reason, and hold the button to confirm. The subscription ends at the close of the period you have already paid for, and the confirmation email gives the address to send a CaptiFi device back to. Until that date, Keep subscription on the same page undoes it. See Cancellation & Device Returns.
Take table bookings on your own booking page and run the day from a diary
From 3 October 2026 the account owner can switch on Table bookings under Dashboard features on the Integrations page, on the Growth plan and above. A Bookings group joins the sidebar. Under Bookings settings you set up each venue's services (when you take bookings and how many covers each time holds), optional areas and tables, closed days and one-day cover limits, the party sizes and lead time guests can book online, the turn times by party size and the reminder, then publish the venue's booking page at app.captifi.io/book/your-venue, or paste one line of code to put the same form on your own website. Guests pick a party size, a date and a time with room, hold it for ten minutes while they give their details, and get a confirmation email with a calendar file and a link to their own page, where they can change or cancel; a reminder follows before the visit, and both go as texts too when you choose. A party above your online maximum sends an enquiry, which lands on Enquiries for you to reply to and book.
The Diary shows a venue's day grouped by service, with the day's figures and any closures, and staff mark guests arrived, seated and completed, record no-shows, cancel, and take bookings by phone, at the desk or as walk-ins from the times that still have room. Every booking is also a reservation, so a booker who connects to your WiFi is marked arrived on their own, and a party that never connects is marked a no-show once the booking window closes. The Bookings list, each booking's page with its notes, messages and history, and Reports with bookings, covers, arrivals, no-shows and cancellations by day, by service and by source, with a CSV export, complete the group. Email and text automations gain four table booking triggers and seven booking merge tags, segments gain Booked a table and Table booking no-shows, and webhooks gain five booking.* events. The account holder sets deposit terms in the venue's currency; team members need the new Manage table bookings permission to take or change a booking. See Table bookings.
Seat bookings at tables, table QR codes, event-night table bookings and private hire
Table bookings can now sit on real tables. Switch on Table allocation in the new card under Bookings settings and every booking goes on a table that seats the party, with joinable tables pushed together for larger groups, and no table is booked twice. Bookings you have already taken are seated at once, keeping the table noted on them where it is free, and any that need your attention are listed. Staff move a booking with Move table in the diary, which lists the bookings on no table above the day. See Seating bookings at tables.
Each table can have a QR code. A guest who scans it holds the table for the time you choose, 90 minutes unless you change it, and the table comes off your booking page while the hold lasts. Print the codes for every area or one area from the same card, and end a hold from the diary when the guests leave. See Table QR codes.
An event can take its own table bookings: add a booking window in the Table bookings card on the event, and the event page shows Book a table beside the tickets. Bookings for the night show the event's name in the diary, the bookings list and the guest's emails. See Table bookings for event nights.
Private hire enquiries now carry the space, the end time, the kind of event and the budget. Book as a private hire blocks the chosen areas, or the whole venue, for the hours booked and lists the bookings it overlaps for your team to move. See Private hire.
Download your redemptions with the till check number
Rewards → Redemptions has a Download CSV button beside the totals. It saves every redemption for the venue, dates, status, channel and terminal on screen, one row each, with when it happened on the venue's clock, the offer, the member, the channel, the terminal or staff member, the value, the basket, the currency, the status and the till check number. A manager can match each discount on the till to its CaptiFi redemption in a spreadsheet. The download needs the Export data permission. See Downloading the redemptions CSV.
Refund ticket orders, cancel events, and see card disputes and booking fee statements
The account holder can now refund a ticket order on my.captifi.io. Open the order, click Refund, tick the tickets or enter an amount for a goodwill refund, and give a reason; a preview shows what goes back to the buyer before you confirm. The money goes back to the buyer's card with the booking fee returned in proportion. Refunded tickets stop admitting at the door and go back on sale, the buyer gets an email, and every refund is listed under Refunds on the order.
Cancel event on an event refunds every card payment in the background, cancels free reservations and emails each buyer with your reason, and the event shows how far the refunds have got and which orders need refunding by hand. The new Ticket payments page under Events lists card disputes with the bank's reason, the amount and the evidence deadline. A bank inquiry holds nothing, while a chargeback freezes the order and its tickets until the bank decides, and the account holder is emailed at each step. The same page has the monthly booking fee statements, one per venue, month and currency, as PDF downloads. See Refunding an order, Cancelling an event, Card disputes and Booking fee statements.
Choose where replies to reward emails go
Rewards setup has a new Reward emails section. It shows the name and address guests see reward emails from, and a Replies go to field so a guest's reply reaches your team. Once you verify your own sending domain under Email Marketing → Settings, reward emails come from your address. See Reward emails.
Import one contact list across several venues
A contact list that names the venue on each row, such as a guest export from Stampede for a group of venues, can now be imported in one go. On Guests → Import contacts, choose This file covers several venues, set Venue to the column that names the venue, then match each venue in the file to one of yours or skip it. Each venue gets only its own rows, with its own duplicate check, tags and skipped rows file, and one undo removes the import from every venue. Columns called Status, Number, Group, Category or Label are now offered as suggestions to confirm, instead of being matched on their own, and a column suggested as the marketing opt-in has to be used or ruled out before you can confirm permission for the whole file. Text message terms on your splash page and ticket checkout
When a guest's yes to your marketing question also lets you text them, your splash page now shows the text message terms under the question: recurring marketing texts from your venue, message frequency varies, message and data rates may apply, consent is not a condition of purchase, and reply STOP to opt out. Venues that use the SMS opt-in checkbox get the same terms under their checkbox wording, and guests read them in English, French or Spanish to match the rest of the page. The ticket checkout box now reads "Send me offers and news from" your venue "by email and text message", with the terms underneath. See Collecting numbers for SMS Marketing.
Your font, logo and colours on the events widget
The events widget on your website can now carry your own look. In Events then Events settings, the Embed on your website card has a font picker, a logo upload and colour fields for the background, the text and the button text, next to the accent colour. The snippet already on your website shows the change on its next load, so there is nothing to paste again. Leave the button text empty and the widget picks white or near black to suit your accent. Logos can be PNG, JPEG, WebP or SVG files up to 2 MB. See Your font, logo and colours.
Till check number on the Redeem screen
When staff redeem a reward on Rewards → Redeem, they can now type the till's check or order number in Till check number, up to 64 characters. It shows on the green Redeemed screen, under the reference on Rewards → Redemptions and as pos_reference in the reward.redeemed webhook, in the same place as the order reference a till sends through the till API. A manager can then match a discount keyed on the till to its CaptiFi redemption. See Redeeming rewards at the till.
The rewards line on your splash page has its own builder section and a text colour
The line on the sign-in form that invites guests to join your rewards programme now has its own Join our rewards section in the splash page builder, straight after Guest sign-in form. It holds the switch that shows the line, its wording and a new Rewards text colour, and clicking the line in the live preview opens the section. Leave the colour blank and the line matches the rest of the text on your sign-in card. See Join Our Rewards.

Devices that skip the sign-in page, on CaptiFi access points too
Chromecasts, smart TVs, printers, card machines and games consoles have no browser to complete the sign-in page, so on guest WiFi they never get online. Pre-authorised devices, previously for UniFi venues only, now covers venues on CaptiFi access points: open a venue's Connection status on My Locations, click Pre-authorized devices and add the device's MAC address, with a label if you like. The device is allowed on every access point at the venue within a minute, allowed again automatically after a restart, never sees the sign-in page and is not counted as a guest. Workflows: delete from the list, a description, and templates from the canvas
From 28 September 2026 every row on Marketing → Workflows has a Delete button, whatever the workflow's status. The confirmation names the workflow and says what happens: a draft is removed, and an active or paused workflow is archived first, so no new runs start and every run in progress is cancelled, then removed with its run history. A workflow can now carry a description of up to 500 characters, typed when you create it or added under its settings on the canvas, and shown under its name on the list and the overview. A workflow that has not run yet offers the next step on its No runs yet card: Publish on a draft, Resume on a paused workflow, and Run a test on a published one.
On the Send an email step, New template and Edit open the email builder and bring you back to the same step with that template selected. The canvas gives each step more room, with the Yes, No, Sent and Skipped labels sitting in the gap between steps, and an existing workflow spreads onto the wider columns the first time you open it. The set-up wizard says what to do next, and offers another way in
When set-up finishes, the wizard now tells you the one thing to do next: join your guest WiFi with your phone and sign in, so your first guest lands while you are still there. If CaptiFi cannot reach your UniFi console, the message names the cause and offers the Remote Tunnel, which connects outwards with no port forwarding, or a CaptiFi device, with one click. And if you are not sure which hardware you have, the device step now offers to start you with a CaptiFi device that we set up with you. Two days after you finish, if no guest has signed in yet, one email asks you to run that test yourself and to reply with what you saw if the page does not open. See the UniFi guide and Onboarding.
Introducing Workflows
From 27 September 2026 the Marketing section of my.captifi.io has a Workflows page, a visual builder that turns what a guest does on your WiFi (a first sign-in, a return visit, a long absence, a birthday) into a chain of waits, conditions and actions: emails, text messages, tags and reward points, drawn once on a canvas and run for each guest. Publishing pins a numbered version, so guests already part-way through a journey finish on the version they started, and pausing a workflow holds every run where it is. Emails skip guests without marketing consent and text messages wait out your quiet hours. One workflow can run across every venue in your group, with each venue's own clock applied. Workflows is included in the Pro and Enterprise plans.

The Omada connect step says what went wrong
When CaptiFi cannot sign in to a TP-Link Omada controller during set-up, the message now names the cause: the controller could not be reached or did not answer, the address answered "not found" for the controller ID, or the operator username or password was refused, each with what to check. The TP-Link Omada guide lists the same three under Troubleshooting.
Omada and Ruckus set-ups show connection checks in the wizard
The WiFi step of the set-up wizard for TP-Link Omada and Ruckus Unleashed now lists the connection checks the Aruba, Meraki and Cisco set-ups already had: whether a guest device has reached the splash page, whether guests are completing it, and for Ruckus whether the controller is sending RADIUS traffic. Join the guest WiFi with a phone once your controller points at CaptiFi and watch them turn green. See the TP-Link Omada and Ruckus guides.
Try another card after a declined device deposit
From 24 September 2026, if the refundable device deposit is declined on the set-up wizard's Delivery and payment step, the card form comes back ready for another card and the delivery address you typed stays filled in. See Delivery and payment.
Controller settings on every venue card
From 24 September 2026 each venue card on My Locations has a Controller settings button. It opens the guest sign-in address and the allowed domains your controller was set up with and, on Aruba Instant On, Cisco Catalyst 9800 and Ruckus venues, the RADIUS server, ports, NAS identifier and shared secret, each with a copy button, plus a link to the set-up guide. The shared secret stays masked until you click Show and is shown to the account owner only. The Cisco Meraki and Cisco WLC cards on Integrations now take you to My Locations for the same panel. Ruckus Unleashed: RADIUS values in the set-up wizard
From 24 September 2026 the set-up wizard's Activate WiFi step for Ruckus Unleashed lists the RADIUS server, authentication and accounting ports, NAS identifier and shared secret under the portal URL, each with a copy button and a line saying where they go in Unleashed. See Ruckus setup.
A first-guest checklist on the dashboard
From 24 September 2026 a new account sees a Your first guest card above the KPI cards on the dashboard, with three steps: hardware online, sign-in page designed and first guest signed in. Each step ticks itself from your venues' live status and links to the page where you finish it, and the card refreshes while you test your first sign-in. It leaves the dashboard once every step is done, and Hide puts it away sooner. See Your first guest.
Toast tells you when it has rejected a venue's sign-in details
From 24 September 2026, when Toast stops accepting the Client ID, Client Secret or Restaurant GUID saved for a venue, the Toast Spend page shows a warning naming the venue and the time orders stopped being matched, with a link to the Integrations page. The Toast card and its Manage panel on Integrations carry the same warning, and the venue owner receives one email. Re-enter the three values for that venue and the warning clears, with syncing resuming at the next quarter hour. See If Toast rejects your sign-in details.
Fortinet FortiAP access points are supported
CaptiFi now works with FortiAP access points managed by a FortiGate. Choose Fortinet FortiAP when you add a location on my.captifi.io, or pick the same card in the set-up wizard, and CaptiFi shows the portal URL, RADIUS shared secret and NAS identifier your IT team enters on the FortiGate. Guests on the FortiAP guest SSID see your splash page, and CaptiFi's RADIUS server lets each guest online once they sign in. Tunnel mode and bridge mode SSIDs both work.
The Fortinet FortiGate / FortiAP guide covers the FortiGate side step by step: the RADIUS server and user group, the guest SSID's captive portal, the exempt destinations and the authentication timeout, with the FortiGate GUI path for each and the CLI where there is one. FortiOS 7.0 or later is needed, and 7.2.4 or later to set a custom NAS identifier.
Wallet pass logos stay visible on any card colour
When your logo would be hard to see against your card colour, Apple Wallet passes now set it on a small rounded plate, white or dark, whichever suits the logo, and use the same colour behind the pass icon. The Wallet passes page shows where your pass logo comes from, your splash page or your rewards programme, and tells you when a plate is in use so you can pick a card colour in Rewards setup that shows the logo on the card itself.
Wallet passes carry your venue's logo
Apple Wallet membership and reward passes now show your own logo at the top of the card and as the pass icon, on your programme's colours. The logo comes from your splash page, or from the logo set on your rewards programme when you have one there. A wide wordmark stands on its own without the programme name repeated beside it.
The card also shows the member's name, with their member number and join date beneath the balance, and a pass can no longer be passed from one phone to another. Google Wallet passes pick up the same logo when it is a PNG or JPEG.
The set-up wizard now runs on my.captifi.io
New accounts finish setup on my.captifi.io. The wizard asks how guests connect to your WiFi, then shows only the steps for that choice, and it reopens where you left off if you close it.
Two paths are new. UniFi Remote Tunnel is a card of its own for consoles behind another router or without a public IP: name the venue, copy one command onto the console, paste a UniFi API key, then pick the network to gate. Aruba Instant On, Cisco Meraki and Cisco Catalyst 9800 have a guided setup: the wizard creates the venue and shows your portal URL, RADIUS details or config pack with a copy button beside each value, then watches for the first traffic from your controller so you can see it working before you finish. Traders redeem a reward by typing their PIN on the guest's phone
A bar or market trader with no device of their own can now honour a reward from the guest's phone. The guest opens their reward page and taps Staff: redeem with PIN, picks the venue if the reward is good at more than one, and the trader types their terminal PIN, with their initials if they want them recorded. The page turns to Redeemed with the reference and the terminal's name, and the redemption sits on that terminal's line of the Settlement report and in Rewards → Redemptions as Trader PIN. Five wrong PINs lock that one reward for an hour; other guests' rewards are unaffected. Steps are under With a terminal PIN on the guest's phone.
Analytics and the monthly report show your modules
The Analytics page gains a Your modules area with a card for each module your account has switched on: Ticket sales (paid orders, tickets sold, RSVPs, check-ins, a table per currency and your top events), WiFi vouchers (generated, redeemed and active, manual against till-printed, by venue), Rewards (members joined, issued, redeemed, points, redemptions by venue and currency) and Paid WiFi (sessions and revenue). The cards follow the page's date range and venue, show money per currency, and link to each module's own page. The monthly PDF report carries a matching sheet for each of those modules. Choose your email and SMS alerts on the Profile page
Account → Profile on my.captifi.io has an Alerts card. Switch the emails you receive on or off: the master email switch, Access Point Status Notifications, Server Status Notifications, Guest Connection Notifications and the Monthly Analytics Digest. Accounts with SMS alerts enabled also see the SMS Notifications switches and the phone number the texts go to. Each switch saves as you move it, and the choices are yours alone, so a colleague on your team sets their own. Steps are under Alerts.
Rewards: wallet card colours, terminal reactivation, who redeemed first, and a Reward column
Four additions to Rewards on my.captifi.io. Rewards → Setup has Card background colour and Card text colour under Programme: the colours of the pass your members add to Apple Wallet or Google Wallet, picked from a swatch or typed as six hex digits, with a cleared field meaning the wallet's default look. A deactivated terminal's row menu on Rewards → Terminals offers Reactivate, so a bar or trader you switched off redeems again with the same PIN and API key. The Already redeemed card on Rewards → Redeem gains a By row with the initials of whoever redeemed the code first. The automations list under Email Marketing → Audiences gains a Reward column showing the offer attached to each automation. Door scanning on iPhone, and a venue location for wallet passes
Scan QR on the Door and Redeem pages of my.captifi.io now works in Safari on an iPhone or iPad, as well as on Android and on a desktop, so door staff can scan tickets on the phone they already carry. The typed box stays for a device without a camera. Steps are under Door check-in.
Events settings has a Location for wallet passes section. Enter the venue's latitude and longitude and a ticket in Apple Wallet comes up on the buyer's lock screen around the event's start time when they are at the venue. The location is stored on Google Wallet passes too, but Google sends no nearby notice. See Setting up your events page.
WiFi voucher POS key: shown once, with when it was last used
The key your till uses to print WiFi voucher codes is now shown once, when you generate it, and CaptiFi keeps only a hashed copy. The Voucher & POS Setup page shows a hint (the last four characters of the key), the created date and Last used, which moves each time the till calls in, so you can tell whether the integration is working without touching the till. Generate new key retires the current key the moment you confirm and shows the replacement once. Revoke key disconnects the till. Tills already connected keep working with the key they hold. Rewards tables that fit a laptop screen
The Terminals, Redemptions and Offers tables under Rewards on my.captifi.io now fit a laptop screen without sideways scrolling. A terminal's key shows as its prefix and last four characters, with the full hint on hover; times use the 24 hour clock; a shared code sits under its offer's name; and each row's actions (Reveal PIN, Rotate PIN, New API key, Edit, Deactivate on Terminals; Void and Restore on Redemptions; Pause, Activate, Edit and Archive on Offers) live in one menu at the end of the row, which also works from the keyboard.
Event tickets in Apple Wallet and Google Wallet
From 20 September 2026 ticket buyers can add their ticket to Apple Wallet or Google Wallet once your wallet is live. Add to Apple Wallet and Add to Google Wallet sit under each ticket on the ticket page, the order page and the confirmation email. The pass shows the event name, the date and doors time in the venue's own time zone, the venue and its address, the ticket type, the holder's name, the order number and the same QR code the door scans, so a pass admits exactly like the ticket page. It is marked used at check-in, updates itself when the event's name, date or venue changes, and is marked void when the ticket is refunded or cancelled. The ticket order view lists each ticket's passes, and the Wallet passes page gains a Ticket passes row. CaptiFi switches wallets on for your account. See Tickets in Apple Wallet and Google Wallet.
Rewards till API: validate, redeem and award points from your till
A till, POS system or kiosk can now work with your Rewards programme directly, using the till API key each terminal is given when it is created. Six endpoints under https://app.captifi.io/api/v1/rewards-pos check a scanned or typed code and say what it is worth against the bill, redeem a reward or a shared code exactly once with a reference for the receipt, reverse a sale within 30 minutes, find a member by email or phone, award points for a sale with no reward, and check a shared code such as SUMMER20. Redemptions made this way appear in Rewards → Redemptions under the Till API channel with the terminal named, have their own line on the settlement report, and fire the reward.redeemed and points.earned webhooks. Each offer's How it can be redeemed list decides whether a till may honour it. Rewards: passes in Apple Wallet and Google Wallet
Members of your Rewards programme can now keep their rewards card and each reward in Apple Wallet or Google Wallet. The reward page and the rewards account page show Add to Apple Wallet and Add to Google Wallet buttons while the reward is unused and the member is in the programme. The member card shows the points or stamps balance, the member number and the tier; a reward pass shows the offer, its code and the time it is valid until in the venue's own time zone. Both carry the same QR code as the page, so staff scan a pass on Rewards → Redeem exactly as they scan the page. Passes keep themselves up to date: the balance follows every earn and spend, a used reward is marked used, a cancelled reward is marked void, and a member who leaves or is erased has their card and rewards voided. The new Rewards → Wallet passes page shows whether each wallet is live for your account, how many passes and iPhones there are, and when the Apple certificate is due for renewal. The wallet accounts and certificates are CaptiFi's, so there is nothing to set up. See Rewards wallet passes.
Customer API: read your Rewards programme, members, rewards, redemptions and offers
Accounts on Growth and above with Rewards switched on can now read the programme through the CaptiFi API with the same keys they use for guests and venues. Ten endpoints under /api/v1/customer/rewards return the programme and its venues, members with their balances and tier, each member's points ledger, issued rewards with their codes, redemptions and offers, all newest first with the usual paging. Lists can be narrowed by a member's email or phone, tier, status, offer, venue and a time window, so a till, a CRM or a partner running the programme for you can keep in step without an export. The member endpoints follow the View guest data permission of whoever created the key, and contact details are masked for accounts in limited access exactly as they are for guests.
The Personalise menu, grouped by section
From 20 September 2026 the Personalise menu in the Email Template Builder on my.captifi.io is grouped by section: Guest Info, Business, Visit Info, Links, Rewards, Events and System. Each row shows the tag's short name, its token and an example value, with what it fills in on a second line. Click a row and the token is copied for you to paste into a Text or Heading block or the Subject box, with a message confirming the copy; if the browser refuses, the menu stays open with the token shown for you to select. The Rewards and Events sections appear for accounts with those features switched on. See Step 5: Personalise.
Rewards: members can spend points in the catalogue, and offers on joining and birthdays
Members of your Rewards programme can now spend their points from their own rewards page. Give an offer a Points cost and tick Show in the members catalogue, and it appears under Spend your points on the page of every member it is valid for, with a Claim button. A claim takes the points and issues the reward in one step and lands on the reward page, ready for staff to scan; a member who is short of points sees how many more they need. The Offers list has a Claimed column, the offer page shows the same figure, and revoking a claimed reward from a member's page returns their points; a revoked reward reads Revoked.
A programme can also hand out an offer of its own at two moments: the joining offer goes out once, with the sign-in that made the guest a member, and the birthday offer once a year at 08:00 in the member's home venue time zone, alongside the birthday bonus. Choose them under Offer issued on joining and Offer issued on a birthday on Rewards → Setup. See Claiming an offer with points and Offers on joining and on birthdays.
New: Automations, merge tags, segments and webhooks for events
From 19 September 2026 your ticket buyers plug into your messaging. Email automations gain four triggers: When a guest buys a ticket, Before an event (the hours before doors set on your events page, 24 by default), After an event (with a wait of your choosing) and When a booking or ticket holder turns up, which fires from the door as well as from a WiFi match. The reminder goes to every buyer, whatever they chose about marketing, and neither it nor the after-event email counts against your email allowance. Text automations gain the ticket purchase trigger, and the booking trigger now fires from the door.
Eight merge tags put the event into any email or text: {{event_name}}, {{event_starts}}, {{event_doors}}, {{event_venue}}, {{event_url}}, {{ticket_url}}, {{order_number}} and {{ticket_count}}, with the times in the venue's own time zone. The segment builder gains Bought tickets (for any event, for one event, or within the last N days) and Attended a booking, and webhook endpoints can subscribe to ticket.order.paid, ticket.checked_in, ticket.order.refunded and reservation.attended. Rewards: points for what guests spend, tiers, and rewards in your emails and texts
Members of your Rewards programme now earn points from what they spend as well as from visiting. Orders that arrive through your Toast or Square connection and match a member are credited once each, at the rate you set, when the order closes. Set up to five tiers by points earned in the last 12 months, each with its own name and a multiplier on spend points; members move up the moment they qualify and keep a tier for 12 months from the day they reached it. Members with a birthday on file get the birthday bonus at 08:00 local time on the day, and points left untouched for the window you choose (12 months by default) expire in one line on the member's ledger. A venue that also uses Leat keeps its Leat contacts, stops adding Leat credits while the guest earns points in Rewards, and can mirror every earn into Leat with the Leat mirror switch. The monthly PDF report gains a Rewards section. See Points and tiers.
Offers now plug into your messaging. Attach one to an email campaign, an email automation or any of its follow-ups, an SMS campaign or an SMS automation, and every recipient gets a reward of their own, placed in the message by new merge tags: {{reward_link}}, {{reward_code}}, {{reward_expires}}, {{rewards_link}} and {{points_balance}} in emails, and {reward_link} and {rewards_link} in texts. A resend never mints a second reward, each run of a repeating campaign hands out a fresh one, and test sends mint nothing. Three new automation triggers, on email and on text, start from rewards activity: Points balance reached, Reward issued and Reward about to expire. Segments gain Points balance, Rewards tier, Rewards member and Has an unused reward, and webhook endpoints can subscribe to reward.issued, reward.redeemed, reward.redemption_voided and points.earned. Rewards and offers: a discount your WiFi guests can show at the bar
Growth, Pro and Multi-Location accounts can now run a loyalty programme across all their venues. Create offers (a percentage off, an amount off, a free item, or a shared code such as SUMMER20), tick Give this reward when a guest joins the WiFi, and every guest who ticks Join on the sign-in form receives a reward by email or text: a link to a page showing a QR code and an eight-character code. Nothing appears on the splash page itself, so a reward can only be collected by the person who owns the inbox or phone.
Staff redeem from any phone on Rewards → Redeem: scan the guest's screen or type the code, read the card, tap Redeem. A code works once; a second attempt shows when, where and by whom it was first used. A trader with no device gets a named PIN that the guest types on their own phone. Every redemption is logged with a reference, managers can void one with a reason, and the account owner can restore it. Reports show the value outstanding per venue and currency, settlement per bar or trader with a CSV download, and an anomalies list.
Guests earn points for visits and for sales keyed at the till, and the members catalogue lets them swap points for an offer. Each venue keeps its own currency and its own time zone for expiry. The account owner switches Rewards on from Integrations. See Rewards & Offers.
New: Embed your events on your website
From 19 September 2026 you can put your events list on your own website. Events settings has an Embed on your website section with a snippet to paste into any page. Visitors see your upcoming events and each event's tickets in a light or dark look with your accent colour, and Get tickets opens the checkout on app.captifi.io in a new tab. You choose which websites may show it, see loads and clicks for the last seven days, and the account holder can issue a new embed key at any time. See Embed your events on your website.
New: Events and ticketing
From 18 September 2026 every venue on Growth and above can run its own ticketed events. Switch on the Events and tickets card on the Integrations page and an Events group appears in your sidebar. Create an event with its times, capacity and image, add up to twelve ticket types, paid or free, and publish it to your venue's public events page at app.captifi.io/events/your-venue. Guests pick their tickets there and pay by card, Apple Pay or Google Pay; free tickets skip payment. Tickets are held for ten minutes while a guest checks out.
Paid tickets settle to your own Stripe account, connected from Events settings through Stripe's onboarding. CaptiFi charges a booking fee per paid ticket with card processing included, nothing on free tickets, and you choose whether the buyer pays it as a Booking fee line or the venue absorbs it. The schedule is shown in GBP, USD, EUR, CAD, AUD and NZD.
Every buyer gets a confirmation email with one QR code per ticket, appears in your guest list with Bought a ticket available in the segment builder, and is recorded as a reservation for the night. Ticket orders lists every order with a Resend confirmation button. On the night, the Door page on a phone scans the QR or takes the ticket number typed in, answers with a green Admitted or a red reason, admits each ticket once from any phone, and lets the same person undo within five minutes. Team members get two new permissions: Manage events and tickets and Scan and check in at the door or till. See Events and tickets, Ticket payments and Door check-in.
Also from 18 September 2026, the events page can show the venue's next event on the WiFi welcome screen: turn on Show the next event on the WiFi welcome screen under Events settings and guests who get online see a card for your soonest public event on sale in the next seven days, with a See tickets button. New: Yelp review prompts
Happy guests can now be sent to Yelp as well as Google and Tripadvisor. Open the new Yelp Reviews card on the Integrations page, paste your Yelp business link and pick Yelp only or Let the guest choose under Happy guests review on. With the guest's choice on, the page a guest sees after a high rating shows a button for every platform you have set up. Lower ratings still open the private feedback form. Growth plan and above, no Yelp account connection needed. The Review Inbox continues to cover Google and Tripadvisor. See Yelp.
Reviews in one place
Review requests, your guests' ratings and your public reviews now live on one Reviews page. It has three tabs: Review requests for the settings, Guest feedback for the ratings and private feedback your guests give, and Inbox for your Google and Tripadvisor reviews with reply drafts. The settings still open from the Google Reviews card on the Integrations page.
The settings are named for what they do: Ask after (24 hours by default, in minutes, hours or days), Minimum stars for a public review (4 by default, with a Star rule sentence under it that spells out where each rating goes) and Send private feedback to. Also ask by text message is a switch of its own beside the email channel's Enabled: tick it and the same rating link goes out as a text to guests who gave a mobile number and consent. Texts spend 1 SMS credit per message segment and need SMS Marketing, and the switch can always be turned off. A guest is asked at most once every 90 days per venue, whichever channel asked first, matched by sign-in, email or mobile number. The Reviews entry appears before setup on any plan that includes Google Reviews.
Two email tools carry the same link: the {{review_link}} merge tag works in any campaign or automation email (each link is valid for 30 days, and a later email issues a fresh one), and the Thank you after a visit preset uses the Review Request starter template and skips guests asked in the last 90 days. A new {{website_url}} tag points to your website, and the starter templates' buttons now use these tags. See Reviews.
Redesigned starter email templates
All 29 starter templates under Email Marketing have a new look. Each one has its own colour palette and font pairing, a full-width photo, and layouts that were not there before: photo tiles with prices, menu and offer price lists, event ticket cards with the date, numbered steps, a facts strip for when, where and how much, and a footer that fills in your venue name, address and phone number. The Happy Birthday template used by the birthday preset is now a designed template that opens in the builder like the rest. Every piece is still an ordinary block, so you can change the words, swap the photos and move things around. See Starter templates.
Drag and drop in the email template builder
Every block in the email builder now has a grip you can drag. Move a heading, text, image, button or a whole container up or down the email, into a container or into any column, and drop it where the blue line shows. A new Blocks panel down the left side lets you drag a fresh block straight into place, or click one to add it at the end. The move arrows, duplicate and delete buttons are still beside each block, Delete or Backspace removes the selected block, and every drop is one undo step.
The save status now reads Unsaved changes until your work has reached the server, a subject-line edit autosaves like any other change, and the browser asks before you close or refresh the tab while changes are pending. Deleting a container now removes what was inside it as well. Read the new Email Template Builder guide.
Re-apply settings keeps your pre-authorisation list
On UniFi controllers, Re-apply settings now keeps every address already on the list guests can reach before signing in, whether CaptiFi, Paid WiFi or you put it there, and adds any CaptiFi address that is missing. That list now includes fonts.gstatic.com, where the sign-in page's fonts load from. See Re-apply settings after a controller reset.
Target guests who bought a ticket
The How they joined condition in the segment builder under Email Marketing → Audiences has a third option, Bought a ticket, beside Connected to WiFi and Imported contact. It matches guests who bought a ticket, or claimed a free one, for one of your events, so a campaign can go to ticket buyers on their own, or leave them out with is not. Ticket buyers are not counted as visits in your analytics or against your monthly guest allowance until they connect to your WiFi. See Last visit and how they joined.
Text message follow-ups in automations
A follow-up in an email automation can now be sent as a text message instead of an email. Choose Text message under Send as on the follow-up, type the message, and the counter shows its length, its segments and the credits it costs per guest. Texts go only to guests who gave a mobile number and agreed to texts, are held during quiet hours and spend SMS credits, not your email allowance. The Results view marks text steps and lists why any were skipped. See Text message follow-ups.
A notice when a campaign reaches your email allowance
A campaign run that reaches your monthly email allowance part-way through now stops there instead of running past it. The emails still to go are marked as skipped, the campaign shows a Not sent (allowance) figure, and a notice tells you how many went out and when the allowance renews. See Repeat a campaign.
A calendar view of your campaigns
The Campaigns page under Email Marketing now has a Calendar view beside the list. Every scheduled and sent email campaign sits on its send day, a repeating campaign shows one entry per run, SMS campaigns appear when SMS Marketing is on, and your Planner events are shown alongside for context. Colours follow the campaign's status, and drafts with no date wait in a Not yet scheduled tray beside the grid.
Drag a scheduled send to another day to move it, in the venue's own local time. See The Campaign Calendar.
Show a promotion after guests connect
The After connecting placement in the splash page builder's Promotions section now puts your artwork, headline and a button on the screen guests see once they are online. The screen waits while the promotion is showing: the guest taps the button to open your link, or Continue to carry on. It works on the simplified sign-in sheet some phones show as well.
Taps on the button are counted for this placement only, and the builder shows them under the promotion as Link taps for the last 7 and 30 days, with 180 days of history kept. An Add tracking tag control under the link field appends utm_source=captifi_splash to your link so the taps show as splash traffic in your own analytics. Venues on a Meraki controller do not get the card: the guest is sent straight through as before. See After Connecting.
Automations can send follow-up emails and stop when the guest comes back
An email automation can now carry up to five follow-up emails after its first one. Each follow-up is sent a chosen number of days after the previous email, from 1 to 365, uses any template in your library, and has an Only if rule: always, only if the guest did not open or did not click the previous email, or only if they have not visited again. Stop the sequence when the guest ends the whole sequence when the guest visits again, or opens or clicks any email, so a win-back never chases someone who has already come back. Automations can also add or remove guest tags when the first email or any follow-up is sent, ready for a Guest tag segment.
Two further options: Re-enrol guests lets a guest go through an automation again after a chosen number of days instead of once only, on Guest returns, After a visit set to Every visit and Guest has not visited, and a Send window keeps sends between two times of day in the venue's own time zone, overnight windows included. The After a visit delay now runs up to a year. See Follow-up emails.
See how each automation performs
Every automation row has a Results view. Pick a period, the last 30, 90 or 365 days or all time, and see how many guests entered the automation, how many emails were sent, opened and clicked, how many guests came back within 30 days of their first email, and how many emails are waiting for the allowance to renew. A Skipped list gives the reason for every email that was not sent, and a By email table shows the same figures for the first email and each follow-up. See Results.
Ready-made automations you can switch on in one click
Start from a preset, beside New automation on the Automations tab, offers four automations with their emails already written: Welcome new guests for a guest's first connection, Thank you after a visit the day after every visit, Come back after 60 days for a guest who has not visited for 60 days (it stops if they return, sends one follow-up 14 days later only if they still have not, and can run again for a guest who lapses again after 180 days), and Birthday greeting. Pick the venues and click Create; the automation is created switched off so you can look it over, then tick Active. See Start from a preset.
Automations can email guests who have not visited for a while
Email automations have a new trigger, Guest has not visited. Set a number of days, from 1 to 365, and a guest who goes that long without connecting to your WiFi at the chosen venues is emailed, so a hotel can prompt a rebooking or a bar can win back a regular. The After a visit trigger can now run after every visit as well as the first, for a thank-you or a feedback request each time a guest comes in. Every automation is set up for at least one venue. See Email Automations.
Build audiences from how long ago a guest last visited, and how they joined
Two new conditions in the segment builder under Email Marketing → Audiences. Last visit picks guests whose most recent visit was more than a number of days ago, or within the last so many days, measured per guest across all of their visits. How they joined separates guests who connected to your WiFi from contacts you imported, so a campaign can go to one group and not the other. See Last visit and how they joined.
Campaigns can repeat daily, weekly or monthly
On the Schedule step of the campaign wizard, set Repeat to Daily, Weekly or Monthly, add an optional Until date, and the campaign runs on that rhythm at the same time of day. Email each guest only once is on by default, so guests already sent the campaign are skipped on later runs and each run only reaches new matches. The step shows how many guests the next run reaches and roughly how many emails a month that adds up to against your allowance. A new Recurring tab on the Campaigns page lists each repeating campaign with its next run and runs so far, and Stop repeating this campaign ends it. See Repeat a campaign.
Automation emails count towards your monthly email allowance
The email usage meter on the Email Marketing settings page and on Account Settings now shows every email sent on your behalf: campaigns, each run of a repeating campaign, and automation emails. It resets on your billing day. If a send would take you past your allowance it waits and goes out once the allowance renews. See Email Allowances.
The status page shows how long any outage lasted
Each service on status.captifi.io now shows its uptime as the share of the last 90 days with no outage, to two decimal places. A day in the chart is coloured by the worst thing recorded on it: green where there were no issues, amber where performance was degraded, red only where an outage was recorded, and grey where nothing was recorded. Hover over a day to see how long the outage or degraded period lasted.
A section under the charts explains how each figure is measured and the thresholds that mark a service degraded or out.
The password eye on the sign-in page follows your mouse
The show/hide button beside the password box is now a drawn eye. Click it to reveal your password and the eye opens and looks towards your mouse as you move it around the page. Click again and the eye closes and the password is hidden. It is on the sign-in, reset-password and team-invite pages of my.captifi.io.
The sign-in pages themselves are plainer: a white page with one card, no coloured backdrop and no animation while the page loads.
Guest erasure covers phone-only guests
When you delete or anonymise a guest under GDPR, the sweep now includes guests who signed in with a phone number and no email address: their linked return visits and any records at your venues that share the same phone number are covered, and anonymisation also clears the phone number and SMS consent. The confirmation dialogs describe exactly what will be removed. See GDPR.
Saved questions keep their column when reworded
Each custom question on your sign-in form stores its answers under a fixed name, shown in small print beneath the question in the splash page builder. That name is set when you first save the question and stays the same when you edit the wording, so earlier answers remain in the same column on your Guest Visits page. See Guest Sign-In Form.
Sign in with Google, Microsoft or Apple
The sign-in page at my.captifi.io now has Continue with Google, Continue with Microsoft and Continue with Apple buttons. Click one, pick the account that uses the same email address as your CaptiFi account, and you are in. Google covers Gmail and Google Workspace mailboxes on your own domain; Microsoft covers Microsoft 365 work accounts and personal Outlook.com accounts, matched on the account's sign-in name.
The first time you use a provider, CaptiFi asks for your CaptiFi password once to confirm the account is yours, then links the provider so the button signs you straight in from then on. Two-step verification still applies, and your password keeps working: the buttons are an addition. Team members can use them too once their invite is accepted, as long as the emails match. See Sign in with Google, Microsoft or Apple.
Disconnect on every row
Connected Guests now offers Disconnect for guests on CaptiFi access points as well as UniFi controllers. The action is recorded in your activity log, and is read back from your network before it is reported. See Connected Guests.
Kick and block now confirm with your network
When you kick or block a guest's device, CaptiFi now checks with your WiFi hardware that the device really has gone before telling you so. On UniFi it reads the client back from your controller; on CaptiFi access points it reads the access point's list of authorised devices. A green notice means the check confirmed it. An amber notice means the command was accepted but could not be confirmed yet, and it says why and what to do next. This applies everywhere the buttons appear: a guest's profile and Connected Guests. See Kick or Block a Guest Device.
The marketing question now sits on the sign-in card
When a guest taps Connect, the question about your news and offers now appears on the sign-in card itself, in place of the form, rather than in a pop-up. It shows the same way on every device, including the captive sign-in sheet that iPhones and Macs open automatically, and the Accept and Decline buttons work exactly as before. Guests who decline still get online.
The sign-in card also remembers what a guest has typed for half an hour. If the phone's sign-in sheet refreshes the page part-way through, which some networks trigger as a phone moves between access points, the name and email are put back so nobody has to start again. See Terms & Privacy.
A guest profile built for bars and restaurants
Click a guest's name and you now get the whole picture on one page: their spend at the till when Toast or Square is connected (total, average order, recent orders and the items they order most, all in your venue's currency), how often and when they visit, how long they typically stay, whether you can lawfully email or text them, the ratings and feedback they have left, their bookings, and one timeline of every sign-in, order, message and review.
At the top, a short For your team list turns that data into prompts in plain English: a birthday next week, a regular who has gone quiet, a big spender who is not on your marketing list, a low rating worth a personal follow-up. Each one states the numbers behind it, and nothing is shown that the data does not support. See The Guest Profile.
Setup guides for Leat loyalty and Airship
Leat (formerly Piggy) and Airship now have their own step-by-step guides with screenshots instead of pointing at the integrations hub. A full step-by-step Planner guide, with screenshots
Planner & WiFi Automations has been rewritten as a walkthrough with a screenshot for every step: planning the event, each of the four automations (WiFi name change, splash swap, message strip, guest tagging), weekly repeats, the calendar badges, editing and cancelling, and what to do afterwards with the guests a tag collected.
Edit a scheduled automation without rebuilding it
Scheduled automations now have an Edit button, on both the Planner card and the Scheduled automations tab. Fix a typo in a tag or a message, pick a different splash design, or move the start and end times, all in place. It appears while an automation is still waiting to run; once it is running or finished you use Stop now or Cancel as before. See Managing scheduled automations.
Target guests by tag in a campaign
Guest tag is now one of the conditions you can pick when building an audience segment, so the tags a Planner automation collects (or the ones you add by hand on a guest profile) can be turned straight into an email or SMS audience. It matches the whole tag exactly, so "VIP" never picks up a guest tagged "MVP". See Using the guests a tag collected.
Tag guests who connect on a given day
The Planner has a fourth automation: Tag guests who connect. Schedule a window (a single day, or every week for a season) and a tag, and every guest who connects during it, first visit or return visit, gets that tag added to their guest profile automatically. Turn it on the same way as a splash swap or message strip, from the WiFi automation section on any calendar event.
It is built for recurring local events: a venue next to a stadium can tag everyone who connects on a home-game day, then build an audience segment filtered by that tag to email or SMS them ahead of the next one. See Planner & WiFi Automations.
See how long an access point has been down
The Access Points page has a new Down for column. Until now the page told you an AP was offline and when it was last checked, but not when the outage began, so a device that had been down for an hour looked the same as one that had been down for three weeks.
Offline access points now show the length of the current outage: minutes and hours in amber, and anything past 24 hours in red so long-running outages stand out at a glance. Hover the value to see the exact date and time the AP dropped off.
Where CaptiFi cannot currently check an access point, because its controller is offline or its details have changed, the figure is shown in grey and marked (unverified): it is our best estimate from the last successful check rather than a live measurement. See Access Points.
Put your own offer on your splash page
Your splash page is the one screen every guest looks at, and you can now put your own artwork on it. Upload a Sunday roast, a happy hour or a rooms offer, choose where it sits, and add a headline and an optional link.
There are three placements. Below the sign-in options is the default and the one to use: every guest sees it without it getting in the way of connecting. The connected screen is the quietly valuable one, because attention is highest there and it costs you nothing, the guest is already online. Above the sign-in options is available if you need it, though it does mean every guest scrolls past it on every visit.
Promotions save as soon as you add them and belong to the venue, so they stay put when you switch between saved designs. See Promotions on Your Splash Page.
Choose how you ask guests about marketing
The marketing question your guests see is now yours to control. Turn it on or off per venue, write your own wording, and decide whether an answer is required before connecting.
Leave the wording blank and guests get the standard question, translated automatically for anyone browsing in French or Spanish. Whatever you choose, guests who decline still get online. See Terms & Privacy.

Your guest allowance counts new guests only
Your monthly allowance is now spent on new guests only: a person the first time they sign in at any of your venues. A guest who comes back later the same day, the next day, or every day for a month is counted once, when you first captured them, as long as we can recognise them: see how we recognise a returning guest. Regulars you captured in an earlier month never count again, the same person signing in at two of your venues counts once for the account, and contacts you upload yourself never touch the allowance at all.
A venue with 1,000 sign-ins a month from 600 regulars now spends 600 of its allowance rather than 1,000, so a busy venue full of loyal customers gets far more out of the same plan. If you do reach the allowance, returning guests keep getting online: only sign-ins by brand new guests pause until it resets.
Your Billing page shows the figure as New guests captured, and the value of your guest database on that page now covers every venue on the account. See what counts as a guest.
Kick or block a guest's device from their profile
Open any guest from My Venues → Guest Visits and you can now act on their device straight from their profile: Kick off WiFi disconnects them and lets them sign in again whenever they like, and Block device stops that device joining the venue again until you unblock it. A blocked guest's profile shows an Unblock device button, so a block is never permanent by accident. See Guest Analytics.
Connected Guests shows your guest network only
Connected Guests now lists devices on your guest WiFi only. Staff and office networks, tills, cameras, smart TVs and wired equipment stay out of the list, so at a venue running several networks the live view and its counts show real visitors. The guest network CaptiFi watches is the one selected for that venue under My Locations. See Connected Guests.
Cloud Keys can now use the Remote Tunnel
The Remote Tunnel lets your UniFi console dial out to CaptiFi, so guest WiFi works even when port forwarding is impossible: double NAT, CGNAT, or an ISP router you do not control. It now runs on Cloud Key hardware as well, Gen2 and Gen2 Plus included, so a Cloud Key site behind an upstream router no longer needs a port forward. The installer sets this up for you and tells you which method your console is using. See Path B: Remote Tunnel.
Every price and receipt in your own currency
Prices, deposits and receipts now read in your billing currency everywhere they appear, including your device order emails and the packing slip in the box, the upgrade options in your guest-allowance emails, and the plan block on the Billing page. Your currency is fixed when your first subscription is created and shown on your setup page before you confirm. See Plans and Pricing and Payments and Billing.
Paid WiFi revenue, one currency at a time
If your venues have taken WiFi pass payments in more than one currency, the Paid WiFi page now shows your main currency on the KPI cards and lists what was taken in each of the others underneath, instead of showing a single combined figure. See Paid WiFi.
Your setup page always confirms before it charges
On the Complete your setup page, if your trial ends while the page is open, the page now updates to show the amount due today and waits for you to confirm again. You are never charged an amount the page did not show you first. See Account Registration.
Your billing day now follows your trial end date
If you subscribe after your trial end date has passed, your monthly billing day now matches the day your trial ended rather than the day you happened to pay, so the date stays where it was during your trial. Your first payment covers the month from your trial end date, which means the second payment can arrive sooner than a full month later; after that it is the same day every month. Adding your card once the trial has ended now takes the first payment straight away. See Payments and Billing.
New: finish setup in one page when we create your account for you
If our team or your reseller sets your account up, signing in for the first time now lands you on Complete your setup: the plan we agreed, your trial end date, the plans you can switch to, and the card field, all on one page. Nothing is charged when you add the card, your first payment is taken on the trial end date shown, and your receipt prints on screen when it is done. Accounts billed another way (a pilot, or billing through a reseller) skip the card step and open straight into the dashboard. See Account Registration.
New: a clearer welcome email
The email that lands when your account is created now walks you from password to first guest in three steps, and carries your venue's 8-digit activation PIN so the device setup guide has everything it needs in one place. It shows your trial end date while you are still on trial, links the quick start and device setup guides, and reseller-managed accounts get it in their provider's branding. Improved: the UniFi setup guide is now a click-by-click walkthrough
The UniFi guide has been rebuilt as numbered steps with a screenshot for each one. It opens by asking which of three connection paths is yours, API key, Remote Tunnel or controller login, so you only read the part that applies to your hardware, and it now shows the exact firewall rule to create on a Dream Machine or UCG. Every CaptiFi screen you will see along the way is pictured, including the WiFi network picker, the connection status panel and pre-authorized devices.
Improved: shorter documentation links
Every page on this site now has a shorter address without the .html ending, for example docs.captifi.io/setup-guides/unifi. Old links and bookmarks still work and send you to the new address automatically.
Improved: unique guests counts people at phone-capture venues
Unique guests, returning rate, marketing opt-ins and new vs returning now recognise a returning guest by their mobile number when your splash page collects a phone instead of an email, and by their device when it collects neither. Venues capturing phone numbers see their real guest counts on the dashboard, the Analytics page and the monthly PDF report. See Analytics.
New: Every payment prints you a receipt
Upgrades, plan changes, saved cards and device orders now confirm with a receipt that prints on screen as the payment goes through. Each one names what you paid for, in your own billing currency, with the plan and billing period on it, and your device order receipt carries the activation PIN so you have it to hand before the box arrives. Adding a card prints its own slip that states plainly that nothing was charged. Your invoices stay where they were, under Invoices on the Billing page. See Changing Your Plan.
Improved: audience sizes count every guest, and show when they were counted
Email Marketing → Audiences now sizes each saved segment by counting guests across all of their visits, including guests who signed in with a phone number rather than an email address. Every row also shows how fresh its figure is, for example "counted 3h ago", and sizes are recalculated automatically every night as well as whenever you edit a segment or click the refresh arrow. When you pick a segment in the campaign wizard, the recipient count shown is the number of guests that campaign can actually email. See Audiences and segment sizes.
Improved: Guest Visits shows returning guests as they arrive
Guest Visits is now a live feed of arrivals. Every sign-in appears as its own row with the newest at the top, so a regular who comes back today sits at the top of the list instead of staying on the date they first signed up. A Visit column badges each row New or Returning, and a new filter narrows the list to all arrivals, new sign-ups only, or returning visits only. Your CSV export is unchanged: one row per guest, so lists you feed to your own tools never repeat an address. See Guest Visits.
Improved: Reviews is now one page with two tabs
Your public reviews and your guests' splash-page feedback used to sit in two separate sidebar entries. They are now one Reviews page with two tabs: Inbox for Google and Tripadvisor reviews with AI-drafted replies, and Guest feedback for the ratings and private comments collected on your splash page. Old links to the Review Inbox still work. See Reviews and feedback.
New: One-click unsubscribe on every marketing email
Marketing emails now carry a one-click opt-out: the link in the footer, plus the Unsubscribe button Gmail, Apple Mail and Outlook show at the top of a message. A guest is opted out the moment they click, with nothing to fill in. An opt-out applies everywhere at once, across every venue and every list, so the address is never emailed again by a campaign, an automation or a review request. See GDPR questions.
New: A Setup guide button on every integration card
Every card on the Integrations page now has a Setup guide button under Configure or Manage, opening that integration's step-by-step walkthrough in a new tab. It is on the dashboard-feature cards (Paid WiFi, Vouchers, Reservations) as well, and on cards for integrations that are not on your plan yet, so you can read what one does before deciding. New: webhooks
Pro accounts can now have guest sign-ups pushed to their own systems the moment they happen, instead of polling for them. Add an HTTPS endpoint under Webhooks, pick your events, and CaptiFi POSTs a signed payload for each one. Signatures you can verify, automatic retries, a test-send button, and a delivery log showing exactly what we sent and what your server replied. See Webhooks.
New: the CaptiFi API
Pro accounts can now connect CaptiFi to their own systems. Create an API key under API Keys, then pull your venues, guest sign-ups and visit stats straight into a booking system, CRM or your own reporting. Read-only, up to five keys per account, and any key can be revoked instantly. See CaptiFi API.
New: Every integration guide is now a full step-by-step walkthrough with screenshots
The integration guides have been rebuilt as click-by-click walkthroughs. Each one is split into what you do in the provider, what you do in CaptiFi and how to prove it works, with a screenshot for every step, the exact field names you will see on screen, a table of precisely what data syncs, and troubleshooting for the errors the connection test can return. Rebuilt guides: Klaviyo, Mailchimp, EmailOctopus, Square POS, Pepper, Revinate, Incentivio, Google Reviews and Paid WiFi with Stripe.
Improved: SMS credit packs are priced in your own currency
The credit packs on SMS Marketing, Credits and billing are priced per currency rather than converted from pounds. Use the Currency selector above the packs to price them in GBP, USD, EUR, CAD, AUD or NZD, and pick the currency your subscription is billed in. Auto top-up charges in your billing currency. New: Partner accounts go international
Partner economics now run in your own currency. Every partner account has a currency, set when you join (GBP, USD, EUR, CAD, AUD or NZD), and your wholesale rate card, the Earnings page, monthly statements and payouts all use it. Referral commission stays 20% in every currency, and if your referred clients pay CaptiFi in other currencies those commissions appear in their own clearly labelled sections on the Earnings page and are paid out separately per currency. New: White-label branding managed on my.captifi.io
White-label partners now manage their branding themselves on the new Branding page (Partner, Branding on my.captifi.io): logo and icon uploads, brand colours, support details, the email footer, and separate toggles for branding the client dashboard and the PDF reports and emails clients receive. Improved: Welcome Back now recognises guests who sign up by phone
The Welcome Back screen, which lets returning guests reconnect with one tap instead of filling in the form again, now works for splash pages that collect a phone number instead of an email address. Any guest with a name and either an email or a phone on file is recognised for the length of your Remember guests window, and every return still counts as a repeat visit on their guest profile. Control it under My Locations, Edit site, with the Welcome back returning guests toggle. See Maximising Data Collection.
New: Payout history and payout details for referral partners
Referral partners can now see exactly how commission becomes money. The Earnings page gains a payout history, listing every payout CaptiFi has recorded with its date, payment reference, method and total, and a payout details form where the account owner sets where commission is sent (bank transfer or PayPal). Details are stored encrypted and only the last few characters are ever shown, and every payout is confirmed by a remittance email. See the new Partner Payouts guide.
New: Getting started checklist for partners
New partners now see a getting started card on the fleet Overview page: a checklist of first steps matched to your programme, from adding your first client or registering your first referral to building a demo, connecting hardware, setting payout details and inviting staff. Steps tick themselves off as you complete them, and the card can be dismissed once you are up and running. See the Fleet Overview guide.
New: Age-gated Klaviyo accounts and custom profile properties
The Klaviyo integration now supports age-gated Klaviyo accounts, built for alcohol brands and other age-restricted businesses. Switch on the new toggle and every list subscription includes the guest's date of birth, taken from a Date of Birth field on your splash page; guests without one are still synced as profiles but never subscribed to the list. You can also define up to 20 custom profile properties, static key/value pairs written onto every synced profile (for example local_venue = Burswood Beerhall (WA)), ready for your Klaviyo segments and flows. Both settings are on the Klaviyo configuration. See Klaviyo Integration.
New: Required checkboxes and a minimum age on your splash form
The splash page form gains two new controls for age-restricted venues. A new Checkbox custom field type adds a tick box with your own wording, and when it is required, guests cannot connect until they tick it: perfect for "I confirm I am 18 or over" at licensed venues. Date of Birth fields now carry a configurable minimum age (13 to 25), and guests below it cannot submit the form; licensed venues typically set 18. Both are in the splash page editor. New: Privacy collection notice and your own policy links on the splash page
You can now show a privacy collection notice directly on the sign-in form, so guests are told what you collect and why at the moment you collect it, for example an APP 5 collection statement under the Australian Privacy Act. You can also link your venue's own policies: set Your privacy policy URL and Your terms of use URL in the splash page editor and they appear as clickable links on the form and inside the Terms and Privacy pop-ups. New: Data Processing Agreement published
CaptiFi's Data Processing Agreement is now published at captifi.io/dpa. It covers how CaptiFi processes guest data on your behalf as data processor, including the full list of sub-processors, ready to reference from your own privacy policy or countersign for your records. See the GDPR FAQ.
New: Pepper integration
Venues using Pepper for order to table and branded ordering apps can now connect it to CaptiFi. Opted-in WiFi guests are created as customers in your Pepper account automatically, with their name, email and marketing consent recorded, so walk-ins who join the WiFi feed the same CRM as your ordering and loyalty customers. Set it up from the Integrations page. See the Pepper setup guide.
New: Personal referral links and landing pages for partners
Referral partners now have a personal signup link, captifi.io/r/your-link, with a copy button on the new Referrals page. The link opens a landing page carrying your name and logo, and anyone who signs up within 90 days of clicking is credited to you, even if they come back and subscribe directly later. See the Partner Referrals guide.
New: Register and track referrals before they sign up
Referral partners can now register a client before they sign up (Partner, Referrals on my.captifi.io). Registering holds your claim for 90 days, the first registration wins, and every claim shows its status: Open, Converted, Expired or Cancelled, with one-click cancel on open claims. New: Referral earnings view and monthly commission statement
The partner Earnings page now shows referral partners their commission: the registered-to-converted funnel, per-client commission split into accrued, pending and paid, lifetime totals and a CSV export. On the 1st of each month referral partners also receive a commission statement by email. Wholesale partners keep the existing statement view. See the Partner Earnings guide.
New: 6-month partner demo licence
Every approved partner now gets a free licence for one internal test venue for 6 months, for learning the platform and building demos. It is for internal testing only, never live client venues: client venues always start on the standard 30-day client trial. Reminder emails arrive before the licence expires, then upgrade to keep the venue running. See Partner Programme Options.
New: Card reminder emails before your trial ends
If your trial is coming to an end and there is no card on your account yet, CaptiFi now sends you reminder emails at around 14, 7 and 2 days before the end, so your guest WiFi carries on without interruption. Each email shows your trial end date and the guest contacts you have collected so far, and includes a secure one-click link that takes you straight to Stripe checkout to add your card, with no login needed. The trial-ended email carries the same one-click link. See Managing Your Subscription.
Improved: Clearer partner navigation
The partner staff page is now labelled Staff (previously Team), so it is easy to tell apart from the venue-level Team page under Account. Same page, same features, clearer name. See the Partner Staff guide.
New: Partner team logins and device ordering for clients
Partners can now invite their own staff (Partner, Staff): each technician gets their own login with full partner access, while staff management stays with the account owner. And devices can now be ordered straight to a client's venue from the client's detail page, flowing into CaptiFi's warehouse with status and tracking visible on the fleet Overview. New: Partner margin history and statement exports

Partner demos are now a sales pipeline: send a demo straight to a prospect by email with a personal message, see views, last-opened time and send history per demo, get an email the first time a prospect opens a demo, and see recently opened demos highlighted so you follow up while interest is warm. Partners now get a single pane of glass (Partner, Overview on my.captifi.io): every client venue's device status, splash status, guests today and open alerts in one table, with click-through client detail pages showing venues, logins, activity and notes. On the 1st of each month, partners now receive their wholesale statement by email: per-client plan, venues, wholesale, retail and margin, plus the monthly total, matching the Earnings page. New: Client setup progress and one-click demo conversion for partners
The partner Clients page now shows a setup progress pill per client (venue created, device online, splash live, first guest connected), so you can see exactly which client needs help finishing their installation. Won a prospect with a demo? Convert to client on the Demos page creates the client in one step, carries the demo's splash design onto their first venue, and retires the demo. Reseller and white-label partners can now generate a live splash page demo for any prospect straight from the prospect's website (Partner, Demos on my.captifi.io). CaptiFi reads the site's logo, colours and business details and builds a shareable branded demo in under a minute, with view counts so you know when a prospect has looked. New: Partner Earnings report
Reseller and white-label partners get a live earnings view (Partner, Earnings on my.captifi.io): your monthly wholesale bill, per-client wholesale and retail with margin, and your partner rate card, all in one place. New: Client lifecycle tools for partners
The partner Clients page now shows each client's guest activity (guests in the last 30 days and last active date) and adds a full set of client actions: edit a client's name, plan and retail price, suspend and resume their dashboard access (their guest WiFi keeps working), and remove a client once their venues are wound down. Wholesale prices now come straight from your partner rate card, so the numbers you see always match what you are billed. And when you are viewing a single client, a banner on my.captifi.io shows the scope with one click back to all clients.
New: White label branding settings and partner device alerts
White-label partners can now set their logo, icon, brand colour and support email, with separate toggles for dashboard and PDF report branding, set up with help from your account manager. Device offline and back-online alerts for partner client venues are also copied to the partner's support inbox, so you hear about client issues first.
New: Send WiFi guests straight into Incentivio
CaptiFi now connects to Incentivio, the restaurant loyalty and ordering platform. When a guest signs in to your WiFi and opts in to marketing, they are sent into your Incentivio guest database (email, name, and phone when provided), so WiFi sign-ups feed the same guest profiles as your ordering and loyalty activity. Guests are upserted by email address, meaning repeat visitors update their existing record rather than creating duplicates. Connect it with the Client ID and Client Secret from your Incentivio account manager, and CaptiFi support can liaise with Incentivio for you. See Incentivio Integration.
New: Client management for CaptiFi partners
Reseller and white-label partners now have a Clients page (Partner, Clients on my.captifi.io). Create a client business in one step: their organisation, an optional dashboard login with an emailed set-password invite, and their first venue. Record your per-client plan, wholesale and retail pricing to track margin at a glance. Client accounts sign in like any CaptiFi customer but see only their own venues, with no billing pages: you bill your clients directly. See the Partner Clients guide.
New: Review Inbox with AI-drafted replies
Your latest Google and Tripadvisor reviews now land in one inbox. Click Draft AI reply and CaptiFi writes a short, personal owner response that references what the guest actually said; copy it, hit Reply on Google or Reply on Tripadvisor, and paste. Mark reviews replied or dismissed and filter by status so nothing slips through. Reviews refresh daily, or on demand with Sync now. Available on the Growth plan and above. See the Review Inbox guide.
New: Tripadvisor review prompts
Review requests can now send happy guests to Tripadvisor as well as Google. Paste your Tripadvisor listing URL into the Guest Reviews settings and choose where guests go: Google only, Tripadvisor only, or a simple choice page with both buttons. No Tripadvisor account connection is needed. The private feedback path also now always offers public review links, so every guest can review you publicly whatever their rating. Improved: Go-live now checks your UniFi console's firewall zones
On newer UniFi gateways (recent Dream Machines, UCG and EFG models) the guest sign-in page follows the console's Hotspot zone, a setting that is easy to miss because it is not shown on the console's WiFi or Networks pages. CaptiFi now reads the zone layout whenever you go live or swap the portal's WiFi network, and tells you in plain words if the zone needs attention, including the exact setting to change (Settings, Policy Engine, Zones). We also monitor connected venues for zone mismatches daily, so a mis-ticked zone gets caught before your guests do. See the UniFi troubleshooting table.
New: Swap which WiFi network your portal gates, right from the dashboard
UniFi venues can now change which WiFi network guests sign in on without redoing any setup. Open the venue's connection status and pick from every network on your controller, complete with live device counts and a Portal active badge so you can see exactly where the sign-in page currently sits. Choose an existing network or create a brand new guest SSID, hit Apply, and CaptiFi moves the portal over and removes it from wherever it was before, so a private network never stays walled by mistake. Improved: The dashboard now wears CaptiFi's colours everywhere
Following the sign-in refresh, the whole of my.captifi.io now uses CaptiFi's own brand palette, drawn straight from the logo: the setup wizard, every dashboard page, charts, calendars and maps share the same teal and navy in both light and dark mode. Buttons and highlights are also easier to read, with stronger contrast throughout. Nothing moves and nothing changes in how any feature works, it is purely a fresh coat of paint. Screenshots in these docs are being updated to match the new look.
New: Send WiFi guests straight into EmailOctopus
CaptiFi now connects to EmailOctopus. When a guest signs in to your WiFi and opts in to marketing, they are added to the EmailOctopus list of your choice as a subscribed contact (email plus first and last name), so your welcome automations and campaigns can pick them up straight away. Contacts are upserted by email address, meaning repeat visitors update their existing contact rather than creating duplicates. Connect it in a couple of minutes with an API key and a List ID. See EmailOctopus Integration.
Improved: A fresh look for signing in
The my.captifi.io sign-in screen has a new design: a cleaner form, a richer brand panel showcasing the dashboard, and colours drawn straight from the CaptiFi logo, in both light and dark mode. The same refresh covers the forgot-password, reset-password and team-invite screens. Nothing changes about how you sign in: your email, password and two-step verification all work exactly as before.
New: See return visits at a glance in Guest Visits
The Last visited column in Guest Visits now updates every time a guest comes back, and a new Visits badge counts their total visits, so your regulars look like regulars. Returning guests are recognised automatically when they rejoin your WiFi (no form to fill in again), and every one of those visits now shows up: sort by Last visited to see who was in most recently, or by Visits to find your most frequent faces for a loyalty reward. The CSV export includes both as new Last Visited and Total Visits columns. See Analytics and Guest Data.
New: Connected Guests now shows who is really there
The Connected Guests page now tells you whether each guest's device is actually on your WiFi at this moment. Guests on the WiFi show Online; guests who still have a valid session but have stepped out (or turned their phone off) show a new amber Away status, with their remaining session time still ticking. This is especially useful for venues with long session lengths, such as hotels and holiday lets: you can see at a glance who is on site right now versus who simply has time left on their pass. Away guests reconnect automatically without signing in again, and presence refreshes every few minutes. See Connected Guests.
New: Sell faster WiFi with per-plan speed tiers
Paid WiFi plans can now each carry their own download and upload speed, so you can sell speed as a premium: keep free guests on your venue-wide limit (say 5 Mbps), offer a Standard pass at 20/5 Mbps, and a Premium pass at 100/20 Mbps. Pick a Download speed and Upload speed for any plan in Paid WiFi → Access Plans & Pricing; the tier is applied the moment payment completes and is shown on the pass button on your splash page, so guests know exactly what they are buying. Plans left on Site default keep inheriting your venue-wide bandwidth limit, so nothing changes unless you opt in. See Speed Tiers.

New: Fake email addresses get stopped at the door
Some guests type gibberish ("fdsk@", "poooopookn@") or a throwaway inbox just to get online, which clutters your guest list with contacts you can never reach. Splash pages now screen every address as it is entered: keyboard mash and filler entries are rejected, disposable email services (Mailinator and thousands like it) are blocked, common typos get a friendly "Did you mean gmail.com?" prompt, and the domain must genuinely be able to receive mail. Any address that still slips through and later bounces is marked with a Bounced badge in Guest Visits, shows up in an Email Status column in your CSV export, and can never be used on a CaptiFi splash page again. Nothing to configure, it is on for every venue. See Fake email protection.
New: Keep printers, card machines and iPads online without signing in
Devices that cannot show a WiFi sign-in page (receipt printers, card machines, back-office iPads, music players, digital signage) used to drop off guest WiFi whenever they reconnected. You can now pre-authorize them yourself: open your venue's connection status and choose Pre-authorized devices, then enter each device's MAC address. CaptiFi authorizes it on your UniFi controller and refreshes it automatically every night, so it stays online across controller reboots with no further action. Remove a device from the list to de-authorize it again. Available for UniFi controllers (self-hosted, API key and Remote Tunnel). See Pre-authorized devices.
New: Re-apply your controller settings after a reset
If your UniFi controller is factory-reset or its captive-portal settings drift (guests start seeing the controller's own page instead of yours), you can fix it yourself: open the venue's connection status and choose Re-apply settings. It re-pushes CaptiFi's captive portal, the allowed-addresses list and any speed limits, and recreates the guest WiFi network only if it is missing, never a duplicate. It is safe to run any time and does not disconnect guests already online. See Re-applying settings after a controller reset.
New: The splash builder now previews your Paid WiFi page
If Paid WiFi is on for a venue, Edit splash now shows your paid access page in the live preview, with your real passes and prices, exactly as guests see it. Branding, background, colour, and terms edits appear on it instantly, and the builder marks the sections guests will not see (welcome text and the sign-in form) with a "Hidden by Paid WiFi" tag so there are no surprises. New: Update your UniFi API key, or switch to one, from the dashboard
The Update connection tool on your venue's connection status now handles API-key controllers, not just username/password ones. Paste a rotated key to update it, and tunnel-connected venues can change their key without touching the address (it stays managed for you). If your venue still signs in with a controller username and password, you can now choose Use an API key instead to switch it over, the simpler and more secure UniFi method, with no controller login or two-factor needed. As always, your current connection keeps working until the new details are verified, so guests are never interrupted. See Updating an Existing Connection.
Reservation Check-in is now opt-in
Reservation Check-in is now an optional feature and is switched off by default, so the Reservations page no longer appears in your sidebar unless you want it. To use it, switch on Reservations under Dashboard features on the Integrations page; switching it off later hides the page again and your reservation data is kept. Accounts already using reservations keep the feature switched on automatically.

Text Your Imported Contacts
Importing a contact list now brings phone numbers with it properly, so those contacts can be included in SMS campaigns as well as email.
Because permission to email is not the same as permission to text, the import asks separately: map a phone column and you get a tick-box confirming you have permission to text these contacts. Leave it unticked and the numbers are still saved against each contact, they just are not texted. Anyone who has already replied STOP to you stays opted out either way, and the review step tells you how many of the batch can be texted before you press go.
Guests who accept marketing on your splash page and leave a phone number are now included in SMS campaigns too, and your campaign recipient count now matches exactly who will receive the message.
Improved: Session length now has proper units, and behaves like the venue setting it is
No more converting days into minutes in your head. Session length now takes a number plus a unit dropdown, minutes, hours, or days (up to 365 days), with an Unlimited option for venues that never want guests to sign in again. The same control appears in both places you can set it: the splash builder's Advanced section and Edit site in My Locations, and the two always stay in step. Existing values are untouched, just shown in the friendliest unit (14400 minutes now reads as 10 days).
It is also now properly venue-wide. Previously, activating a different splash design (a quiz night page, a Christmas page) could silently apply that design's old session length, and venues set to Unlimited could drop back to 60-minute sessions after an unrelated splash edit. Both are fixed: your session length follows your venue, not whichever design happens to be live.
New: Collect SMS opt-ins on your splash page, and everything else texting needed
SMS Marketing now has its missing first step: your splash page can ask guests for their mobile number and a clear SMS opt-in. Add a Phone question to your sign-in form, switch on the SMS opt-in checkbox (editable wording, optionally required), and every guest who ticks it becomes textable, with their number stored correctly whatever country they are from. Venues that enable the checkbox get strictly opt-in texting: an unticked box is a "no" that CaptiFi respects even when the guest accepted email marketing. Venues that leave it off keep the simpler rule where one marketing consent covers email and SMS alike. Every text carries the automatic STOP footer either way. The rest of the texting workflow grew up alongside it:
- Send a test to your own phone from the composer before texting guests
- Edit drafts and cancel scheduled campaigns any time before they go out
- Delivery is now genuinely tracked: the Delivered stat reflects real carrier receipts, and the stats row now shows failures rather than a click counter that had nothing to count
- Auto top-up: save a card, set a threshold, and your credit balance refills itself so automations never stall at zero
- An Opt-outs tab listing every number that cannot be texted, with the ability to add one manually when a guest asks in person
New: Update your UniFi controller connection yourself
Moved your controller, switched to a custom port, or rotated its password? You no longer need to contact support. Open your venue's connection status under Locations and choose Update connection. Your current connection keeps working until the new details are verified, so guest WiFi is never interrupted, and if your controller still lists the same UniFi site you will not be asked to pick it again. See Updating an Existing Connection.
Improved: Connect your UniFi controller on any port, and lock it down to CaptiFi's IP
If you would rather not open your UniFi controller's default port to the internet, you can now forward any external port you like (for example 7443) to your controller and enter the address in CaptiFi with that port, such as unifi.example.com:7443. The connection checker tests your port first and the error messages now reference your actual port instead of assuming 8443. Pair it with a firewall rule that only allows CaptiFi's server IP (46.62.168.7) and your controller stays completely invisible to the public internet. See the UniFi guide for the steps.
New: Reservation Check-in - see which bookings actually showed up
Booking platforms tell you who reserved; they do not tell your marketing tools who turned up. The new Reservations page fixes that. Import your OpenTable CSV export (or any reservation spreadsheet), or add bookings by hand, and CaptiFi checks guests in automatically: when someone with a matching email or phone number joins your venue WiFi around their reservation time, the booking flips to attended. Reservations that never see a matching connection resolve to no-show.
You get attendance stats at a glance, manual override actions for edge cases, and a new Google Reviews option to only send review requests to guests with an attended reservation, so no-shows are never asked to review a visit that did not happen. Re-importing an updated export updates statuses in place rather than duplicating rows.
Available on the Growth plan and above. A direct OpenTable API connection is planned once our OpenTable partner application is approved; everything you import now carries over. Read the guide.
Improved: See who your SMS campaign will reach, and what it will cost, before you send
The SMS Marketing page has been rebuilt around one idea: you should never have to send a text blast blind.
A new audience panel sits alongside the campaign composer and updates as you type. It shows how many guests your campaign will reach in total and at each venue, a breakdown by country based on your guests' phone numbers, and how many numbers were left out because they opted out or appear at more than one of your venues (each guest is only ever texted once per campaign).
The cost is spelled out just as plainly: recipients times message segments equals the credits you will spend, shown against your current balance. If you are short, sending is blocked and your campaign is saved as a draft until you top up. The character counter now also accounts for the automatic "Reply STOP to opt out" footer and warns you when emoji or special characters shorten each text, so the price you see is the price you pay.
The rest of the page has been tidied up to match the rest of the dashboard, with clearer stats, credit pack pricing, transaction history and automations. See the SMS guide for the full picture.
Automations got the same honesty treatment: picking a trigger now starts you off with a ready-made message, triggers only appear once the data behind them exists (Birthday shows up when you actually have birthdays on file, and only ever texts guests with a birthday set, once a year on the day), review requests require a connected Google review link, and your audience rules (consent only, first-time or repeat visitors) are now properly applied to every send.
Fixed: Better WiFi at venues with more than one CaptiFi access point
If your venue runs two or more CaptiFi access points, guests could see weak signal, or a warning symbol on their WiFi icon, even while standing right next to an access point. Some found that the guest network stopped working while staff WiFi kept going.
The cause was that every access point identified itself to phones using the same hardware address. Phones could not tell your access points apart, so they never handed over to the nearest one as a guest moved through the venue, and the connection quietly stopped working. Each access point now identifies itself uniquely, so phones hand over properly and stay connected as guests move around.
Alongside this, signing in once now authorises a guest on every access point at your venue, so walking between rooms no longer brings the sign-in page back. Blocking or disconnecting a guest also applies across all of your access points now, rather than just one.
There is nothing to do at your end. If your venue has several access points and guests have complained about patchy WiFi, it is worth asking them to try again.
New: Import Your Existing Contacts
By customer request: bring a contact list you already have into CaptiFi. Upload a CSV or Excel file from your booking system, till, spreadsheet or previous mailing tool, and those contacts join your CaptiFi contacts, ready to include in campaigns.
CaptiFi matches the usual columns for you (name, email, mobile, opt-in, birthday, sign-up date) and asks you to point at anything it cannot place, with a preview of your own data next to each option. Before anything is written you get a readout: how many contacts are new, how many this venue already has, and how many rows have no usable email address. The progress bar and counters then update live while it runs.
Your existing data is never overwritten: contacts you already have are skipped, and an import fires no welcome emails, review requests, notifications or integration syncs. If a file has no opt-in column you confirm you have permission to email the list, and anyone who previously unsubscribed or bounced stays unsubscribed regardless. Imported contacts are marked Imported and can be emailed like any other, but never count as venue visits in your analytics. Any import can be undone in one click.

New: Guest Languages
Your splash page can now appear in your guest's own language. Pick the languages you want to offer under My Locations then Edit, and guests are detected from their phone automatically, with a one tap switcher if they prefer something else.
English, French and Spanish are available today, on both the standard splash page and paid WiFi. Everything CaptiFi writes is translated: the sign-in form, the connect button, the terms links, the session length, and on paid WiFi the pass names, the payment screen and the card form too. A guest's language carries through the whole payment journey, including bank verification screens.
Your own wording is never touched. Anything you typed into the builder appears exactly as you wrote it in every language, so a welcome line you chose stays yours. Venues that only want English need do nothing and see no change at all.

New: Klaviyo Integration
By customer request: connect Klaviyo and every WiFi guest who opts in to marketing is added to Klaviyo as a profile automatically, tagged with their venue, with an optional list subscription so your welcome flows fire straight away. Available on Growth and above. See the Klaviyo setup guide.
Finer Control in the Splash Page Builder
The splash page builder now has proper sliders for the fiddly bits: logo size, card and button corner radius, and card transparency, each with a live value readout. Drag to taste and watch the preview update as you go.
Choose Which Venues Each Team Member Can Access
Team invitations now include a Venue access choice: give a colleague every venue, or tick just the locations they should see. A venue-scoped member only ever sees those venues across the whole dashboard, from the venue switcher to guest lists, analytics and integrations, and they can never invite someone with broader access than their own. Edit any existing member to adjust their venues at any time. See the Team guide.
Sign In Once Across All Your CaptiFi Devices
Venues with more than one CaptiFi device (large properties, holiday parks, multi-room venues) just got a much smoother guest experience. When a guest signs in through any of your devices, they are now automatically authorised on every device at your venue, so they can walk around the property and reconnect through a different access point without seeing the splash page again. Blocking or disconnecting a guest from your dashboard now also applies across every device at the venue, not just the one they signed in through. Nothing to configure, it just works. New: Square POS Integration
If your venue runs on Square, CaptiFi now connects to it directly. WiFi guests who opt in to marketing are added to your Square Customer Directory automatically, grouped as "CaptiFi WiFi Guests" so you can target them with Square Marketing. CaptiFi also syncs your Square orders every 15 minutes and matches spend back to WiFi guests, giving you a new Square Spend Dashboard with top spenders, VIP badges and one-click win-back segments. Clearer Guest Allowance That Resets Every Month
The Plan usage card on your Billing page now always shows your guest allowance as a monthly figure that resets on your own billing day each month, with the exact Allowances reset on date. If you pay annually, this is the fix you may have been waiting for: your allowance now resets monthly like everyone else, instead of appearing to count a whole year against a monthly limit. We also tidied the saved-card display so it shows at the correct credit-card size.
Auto-Brand Your Splash Page From Your Website
The splash page builder can now brand your WiFi page for you: paste your website address into the new Auto-brand box at the top of the builder and CaptiFi pulls in your logo, colours, fonts and photos automatically. Review the result in the live preview, tweak anything, then save.
Find Your Device PIN on My Locations
CaptiFi device venues now show their 8-digit activation PIN right on the venue card: open My Venues, My Locations and click Show PIN. It is masked until you reveal it, with one-click copy. We also tidied the WiFi Access Points table to focus on what matters: name, venue, status, last seen and connected clients.
Guest Visits Columns Now Match Your Splash Form
The Guest Visits table adapts automatically to what your splash page actually collects. Ask for a phone number and a Phone column appears on its own; turn off email collection and the Email column disappears. The CSV export now includes a column for every custom splash question too, so phone-only venues get their numbers in the download. You can still override any column from the Columns menu, and your choices are remembered.
Send your DNS records to your IT person
Domain verification for email campaigns now has an Email these instructions option: enter the address of whoever manages your domain and we send them the exact DNS records with registrar tips. They need no CaptiFi login. Once the records are added, click Verify now as usual.
Every Starter Template Redesigned, Plus Send-a-Test
All 28 starter email templates have been redesigned from scratch, twice over. Each one now opens with real placeholder photography (swap in your own shots) and its own layout: bold type posters for offers and happy hours, ticket layouts for events, editorial menus with dishes and prices, photo-led stories for launches. No two starters look alike. Template cards gain a Preview button that opens the full design in a scrollable window. The editor also gains a Send test button that emails the design to your own inbox with sample values filled in, new blocks come with venue-ready placeholder content instead of generic filler, and every email now sends with mobile-friendly markup (columns stack on phones) and a declared light colour scheme so dark-mode mail apps do not mangle your design. DNS Setup Help for Email Domains
Verifying your sending domain is now much easier to follow. Saving your sender identity generates the DNS records immediately, and a new How to add these records section under the table walks you through adding them at Cloudflare, GoDaddy, Namecheap, 123-reg, Squarespace Domains, and IONOS, step by step, with copy buttons for every record. Demo and Analytics Data Fixes
Guest profiles now label repeat visits correctly (the first visit is "First visit", later ones are "Return visit"), the Popular Access Points share column is calculated against all access point visits in the period rather than only the rows shown, and venue map pins can be dragged smoothly even when the pointer briefly leaves the plan.
One PIN for a Whole Batch of Devices
Ordering several CaptiFi devices for one venue? We can now mark your venue's activation PIN as reusable, so the same 8-digit PIN activates every device in the batch and each unit joins that venue with its splash page automatically. Previously every device needed its own PIN. Ask us at hello@captifi.io when placing a batch order. See Device Setup.
Zone View: Click an Access Point to Drill In
Click any access point in the Popular Access Points ranking and the analytics page drills into that zone: visits trend, busiest hour, footfall pattern, peak occupancy, and visit duration all filter to just that area of your venue. A banner shows which zone you are viewing; one click clears it. Combined with renamed access points, you can now answer questions like "how late does the garden actually stay busy" in two clicks. Local Times, Trends, and a Win-Back Shortcut in Analytics
Analytics now speaks your venue's language. When a single venue is selected, the Busiest Hour and Footfall charts show times in that venue's own timezone instead of UTC, and the peak-occupancy moment does too. The occupancy, return-gap, and roaming cards show how each number moved versus the previous period. The Avg return gap card gains a Set up win-back email button that opens the campaign builder with a timing tip matched to your venue's own return rhythm, and Popular Access Points can now be exported to CSV. Visit Lengths, Live Zone Activity, and Guest Roaming
Three more analytics additions. Visit Duration shows how long guests actually stay, bucketed from under 5 minutes to over 2 hours. Peak occupancy now carries a day-by-day sparkline so you can see your busiest days at a glance. Guest roaming reveals how many guests move between areas of your venue mid-visit. And on the Venue Map, each access point pin now shows a live green badge with the guests online there right now, refreshing every minute. See Guest Analytics.
Venue Map: Floor-Plan Heat Zones
Upload a floor plan of your venue on the Analytics page, place your access points on it, and get a live heat map of where guests connect. Blob size follows each area's share of visits in your selected date range, and hovering a pin shows visits and average dwell time for that spot. Alongside it, Analytics gains two new numbers: Peak occupancy (the most guests online at once, and when) and Avg return gap (how many days the average guest waits between visits, perfect for timing win-back emails). The Popular Access Points ranking now shows per-area dwell time too. See Venue Map.
Dwell Time, Popular Access Points, and AP Renaming
Analytics now shows an Avg dwell time card (how long guests actually stay connected per visit) and a Popular Access Points ranking that reveals where guests connect inside your venue. Give your access points friendly names like "Front Entrance" or "Garden" from the Access Points page (pencil icon) and the ranking reads like zone analytics. Renames live only in CaptiFi and never touch your UniFi console. See Guest Analytics.
Plan Cards Show the Full Feature List
The Change Plan screen now lists everything each plan includes: guest connections per month, email campaign allowances (Growth includes 2,000 emails/month, Pro includes Mail Plus with 5,000 emails/month), analytics, review requests, multi-site tools, and more. No more guessing what an upgrade unlocks. See Plans and Pricing.
Automatic Venue Moves for Access Points
Moving an access point between venues no longer needs a support request. Adopt the AP at its new venue in your controller and CaptiFi detects the move automatically, re-pointing the AP's venue, splash page, and guest sign-in within about 15 minutes. Previously a moved AP could keep showing its old venue's splash page and stop guests from getting online. The Access Points page has also been cleaned up to list access points only: switches, gateways, and routers no longer appear as APs. See Access Points.
Free Data Before Payment on Paid WiFi
Paid WiFi venues can now give every device a free data allowance before asking for payment. Guests tap a green Free WiFi button on your splash page and browse without paying; when the allowance runs out they're disconnected, and their next join shows your payment page. Each device gets one free session per 24 hours, and free sessions never count towards your revenue figures. Set it under Paid WiFi → Stripe Connection → Free data before payment (50 MB up to 1 GB, or off). See Free Data Before Payment.
Access Point Status Accuracy Fix
Fixed an issue where the Access Points page could keep showing an access point as Online after it went offline, on venues with a UniFi console connected by API key or the Remote Tunnel. AP statuses on these consoles now also refresh every 10 minutes (previously nightly), so the page reflects reality within minutes.
Paid WiFi Data Allowances
Paid WiFi plans can now carry an optional data allowance (100 MB up to 10 GB) alongside their duration. A pass ends when the time OR the data runs out, whichever comes first; the guest is disconnected automatically and sees your payment page again the next time they join. The Payments received table shows a new Data used column so you can see each guest's consumption. Works on UniFi, CaptiFi devices, Cisco, Aruba, and Ruckus (best effort on Omada; not enforceable on Meraki click-through). See the Paid WiFi guide.
Integration Connect Fix and Clearer HubSpot Errors
Fixed a dashboard issue where connecting an integration for the first time (typing an API key or token into an empty field and pressing Save or Test) silently dropped the value, producing errors like "Missing HubSpot access token" even though a token was entered. First-time connects now work as expected across all integrations. HubSpot also now checks the token looks like a Private App token (starting pat-) and points you to the exact place in HubSpot to copy it from.
Dashboard Feature Cards With Sidebar Toggles
On the Integrations page, WiFi Vouchers & POS and Paid WiFi (Stripe) are now full feature cards, matching the provider cards, each with a Show in sidebar toggle. Switch a feature on to add its pages to your sidebar or off to hide them; your settings and data are kept either way. See the Integrations guide.
Refreshed email template library
All 28 starter email templates have been redesigned from the ground up: modern layouts, venue-matched colour palettes for cafes, restaurants and bars, and send-ready copy with personalisation built in. Every starter now opens in the visual email builder (the legacy editor versions are gone). Find them under Email Marketing, Templates.
Planner WiFi Automations
The Planner now runs your WiFi for you. Attach an automation to a calendar event under My Venues → Planner and CaptiFi applies it at the start time and reverts it automatically at the end time, in your venue's timezone: swap to a different splash design (your default comes back afterwards), temporarily rename your guest WiFi (the original name is restored, supported on UniFi and the CaptiFi device), or show a short dismissible message strip on your current splash page. Set a weekly repeat for things like quiz night, get a morning-of confirmation email plus an immediate alert if anything fails, and manage everything from the new Scheduled automations list. Seasonal Splash Templates
Create a new splash design from a CaptiFi-made template: Christmas, Halloween, Match Day, Valentine's, or New Year. The template's styling is combined with your venue's logo, background, and name from your default design, so it lands in your library ready to edit, activate, or schedule. See Start from a Seasonal Template.
Splash Design Library
Each venue now keeps a small library of named splash designs, so you can prepare pages ahead of time (a quiz night page, a Christmas page) and switch between them in one click. Duplicate your current design to create a variation, rename designs, and activate whichever one you need: the live page swaps immediately, and guests see it the next time they connect. Mark one design as your venue's default, and delete the ones you no longer use (the active and default designs are protected). Standard plans hold 5 designs per venue, Pro holds 10. See the Splash Page Builder guide.
Smoother UniFi Go Live on the Remote Tunnel
Going live on a tunnel-connected UniFi console now works start to finish from the dashboard. Creating a new guest SSID works on all current UniFi OS consoles (previously it could fail with a controller error), picking an existing network locks in its real broadcast name, and choosing a name your console already broadcasts gates that network instead of failing on a duplicate. If the controller declines a change, the result message now says exactly why, and the network list refreshes automatically after you go live. See the UniFi guide.
Connected Guests: Disconnect Fixed and Clearer Statuses
The Disconnect action now genuinely kicks the device off your WiFi at the controller (previously it only changed the label, and the guest stayed online). Statuses are clearer too: guests who simply leave your venue now show a neutral Offline badge, while the red Disconnected badge is reserved for devices actually kicked by you or your staff. Ready-to-Print WiFi QR Posters
The QR Generator now produces a branded A4 poster PDF for each venue: your venue name and logo, a large scan-to-connect QR code, the network name, and step-by-step instructions for guests. Click Download PDF (or Print) on a venue card under My Venues → QR Generator, print it, and put it up in your venue. The on-screen QR preview also now displays as a proper square. Connected Guests: Signal and Data Now Update Reliably
Fixed an issue where the Connected Guests page could show "Unknown" signal and 0 B data for venues on a UniFi console connected with an API key, flipping between real values and blanks from one refresh to the next. Signal bars and data usage now update dependably, and if a reading is briefly unavailable the page keeps the last known values instead of going blank. The table now also fits your screen without sideways scrolling: row actions moved into a compact three-dot menu, and the MAC and IP columns appear on wide screens (hover over the guest name to see them on smaller ones).
Guest Bandwidth Limits
Cap each guest's WiFi speed and set a per-session data allowance so a few heavy users cannot slow everyone else down. Turn on Limit guest bandwidth and set a download and upload limit in Mbps and a data cap in MB under My Locations → Edit site. Enforced on UniFi, CaptiFi plug-and-play devices, and RADIUS systems (Aruba Instant On, Cisco, Ruckus); saved but not yet enforced on Omada, Meraki, and cloud-only UniFi. Redesigned Monthly PDF Reports
The monthly performance report has been rebuilt from the ground up: brand typography throughout, a cover page with headline numbers and a table of contents, and new sections including a per-venue leaderboard, browser breakdown, sign-ups by hour of day, a consent funnel, and month-on-month momentum. Generate and download reports under My Venues → Reports, existing reports can be re-generated to get the new design.
Team Members
Invite colleagues to your dashboard with their own logins and role-based permissions, up to 10 seats on every plan, at no extra cost. Manage everything under Account → Team. See the Team Members guide.
Connected Guests (Live)
A real-time view of everyone on your WiFi under My Venues → Connected Guests: live signal bars, data usage, and time remaining, refreshing every 60 seconds, plus Block, Extend, and Disconnect actions per guest. See the guide.

Add a new location any time under My Locations → Add location. Every plan includes one venue, and each additional venue is £25/month, prorated and removed automatically when you delete the location.
UniFi Remote Tunnel (Double NAT Support)
