Billing & Plans FAQ

What plans are available?

Five plans: Lite, Essentials, Growth, Pro and Enterprise. They differ mainly by monthly new-guest allowance, email allowance and marketing features. CaptiFi bills in GBP, USD, EUR, CAD, AUD and NZD, so see Plans & Pricing for the price in your currency and the full feature comparison.

What is the Lite plan?

Lite is a one-venue plan that runs on your own WiFi (UniFi, Omada, Meraki or another supported controller) or on the CaptiFi WiFi device. It costs £19.99, $24.99, €21.99, C$34.99, A$38.99 or NZ$44.99 a month, or £190, $240, €210, C$335, A$375 or NZ$430 a year, depending on your currency. It includes your splash page, GDPR capture, the guest log with CSV export and the QR generator, for one venue and up to 500 new guests a month, with CaptiFi branding on the splash page and email support. If you order the CaptiFi device, a refundable deposit of £60, $99, €79, C$99, A$129 or NZ$149 is taken when you order it, as on every plan. Analytics, email marketing, review requests and team members start on Essentials: see The Lite plan.

Can I move to Lite?

New sign-ups can choose Lite at captifi.io/trial. If your trial has ended without a subscription and your account has one venue, no venue on paid WiFi or voucher access and no team members, Lite is offered on the Billing page. If you cancel because of cost or because you are not using CaptiFi enough, an eligible account is offered a switch to Lite from the end of the billing period: see Switch to Lite instead. If you already pay for Essentials or above, email hello@captifi.io and we move you.

Which currency am I billed in?

Your billing country sets your currency when you sign up. Every plan, extra venue and device deposit has a list price in each of the six currencies: see the tables on Plans & Pricing.

My WiFi provider set up CaptiFi for me. Who bills me?

If a CaptiFi partner manages your account, the partner bills you and CaptiFi does not. Your dashboard has no retail plans, card form, device deposit or SMS credit checkout, and CaptiFi sends you no invoices. Contact your provider about your plan, devices and payments. A CaptiFi partner's own demo licence account has no retail billing either; contact support@captifi.io for a licence or billing change. See If your WiFi provider bills you.

Is there a free trial?

Yes, 30 days with full access to the plan you choose. A payment method is normally required to start the trial. If you order the CaptiFi device, it also lets us ship the hardware and take the refundable device deposit. No subscription payment is taken until the trial ends, and you can cancel any time during the 30 days at no cost for the plan.

Can I cancel anytime?

Yes. Monthly plans have no minimum term and no notice period: cancel from Billing in your dashboard at any time and your service runs to the end of the period you have paid for. An annual term runs for its twelve months.

What happens when I cancel?

The account owner cancels from Account then Billing with Cancel subscription. Then:

  1. Your subscription ends at the end of the current billing period and your dashboard closes
  2. You send the device back to us within 30 days, arranging and paying for the postage yourself (we do not send a return label)
  3. Once we receive the device back, your device deposit is refunded

What happens to my data if I cancel?

Your guest data is retained for 30 days after cancellation, giving you time to export it. After 30 days, all data is permanently deleted from our servers. While your account is active, export it from Guest Visits. After the account closes, the account holder can sign in to my.captifi.io and click Download your guests (CSV) until the data is deleted. Anything already synced to a system you own, such as Klaviyo or Mailchimp, stays in your account: see Cancellation & Returns.

Can I upgrade or downgrade my plan?

Yes, any time from Billing then Change plan. Upgrades take effect immediately and you are charged the prorated difference; downgrades take effect at the start of your next billing period. A paying subscription cannot pick Lite there: see Can I move to Lite?

Is the hardware really included?

Yes, on every plan, Lite included. We take a refundable deposit for the device (£60, $99, €79, C$99, A$129 or NZ$149 depending on your currency) and refund it when you return the device. There is no rental or purchase charge for the device on top of that.

What if I have more than one venue?

Every plan includes one venue. Lite is for one venue only; to add a second, upgrade to Essentials or above. On a monthly plan each additional venue is £25, $35, €30, C$45, A$49 or NZ$59 depending on your currency, added self-serve under My Locations then Add location and prorated from the day you add it. Deleting a venue removes the charge. If you pay annually, extra venues are billed at the annual extra-venue rate and we add them for you: email hello@captifi.io. Extra venues can be added on any plan from Essentials up; the cross-venue dashboard and group analytics start on Pro.

What if I exceed my monthly new-guest allowance?

Each plan includes a monthly allowance of NEW guests (500 on Lite, 1,000 on Essentials, 5,000 on Growth, 15,000 on Pro, 50,000 on Enterprise). Only a guest's first sign-in counts: return visits by guests we can recognise are free, and so is a regular you first captured in an earlier month, so a busy venue full of regulars uses far less of its allowance than it has sign-ins. See what counts as a guest. The allowance resets on your own billing day each month, including on annual plans, and the reset date is shown on the Plan usage card. If you reach it, sign-ins by new guests pause until it resets on your next billing day; returning guests we can recognise keep getting online, and guests already connected are unaffected. Track usage on your Billing page; if you are regularly near the limit, upgrading to the next plan adds headroom and takes effect immediately.

Do automation emails and repeating campaigns count towards my email allowance?

Yes. Every email CaptiFi sends for you counts: campaign sends, each run of a repeating campaign, and every automation email. The allowance renews on your billing day, and a send that would take you past it waits and goes out once the allowance has renewed. The email usage meter on the Email Marketing settings page and on Account Settings shows what you have used and the reset date. See Email Allowances.

Do you offer annual billing?

Yes. Annual costs less than twelve monthly payments on every plan in every currency, and an annual term runs for its twelve months once it starts. Both prices are listed side by side on Plans & Pricing so you can compare your own: GBP Pro, for example, is £1,428 a year against £149 a month.

Can I start monthly and move to annual later?

Yes, at any point from Billing then Change plan. The annual rate is a list price rather than a sign-up offer, so it applies whenever you switch, and the unused part of the month you are in is credited automatically.

What payment methods do you accept?

All major credit and debit cards via Stripe (Visa, Mastercard, Amex).

Will I be charged automatically?

Yes. Subscriptions renew automatically each billing period, monthly or annual. You receive an email receipt for each payment, and you can update your payment method or cancel at any time from your dashboard.

Do team members cost extra?

No, up to 10 team seats are included on every plan from Essentials up. Team members are not on Lite. See Team Members.

Do you offer pricing above Enterprise?

Yes. For larger portfolios or specific requirements, get in touch and we will put together a custom quote. Volume discounts are available.
