Customer Onboarding
When you first log in to CaptiFi, a guided onboarding wizard walks you through setting up your venue. This takes about 5-10 minutes.
Step 1: Choose Your Device
You'll see two options:
Option A: CaptiFi Plug & Play (Recommended)
- Pre-configured access point
- Just plug in and enter a PIN — no networking knowledge needed
- Ships free to your address (typically 3-5 days; international deliveries can take a little longer)
- Includes Ethernet cable; your activation PIN arrives by email and is shown on your dashboard
- Requires a £60 refundable hold (released when you return the device)
Option B: Use Your Own Hardware
- Connect your existing UniFi, TP-Link Omada, or Ruckus Unleashed kit directly from the wizard
- Aruba, Cisco Meraki, Cisco WLC, and MikroTik are also supported — see the setup guides
- No additional hardware cost

Step 2: Setup (varies by device choice)
If you chose CaptiFi Plug & Play:
- Delivery Address — Enter where to ship your device
- Payment — £60 refundable hold via Stripe (regional equivalents apply outside the UK)
- Confirmation — You'll receive an order confirmation, and your activation PIN is shown in the dashboard and emailed to you when your device ships
- Device typically arrives in 3-5 days
If you chose UniFi:
- Connection method — Choose:
- UniFi API Key (recommended, UniFi Network 9.1.105+)
- UniFi Traditional (local admin username and password)

- Controller address — CaptiFi tests it can reach your controller
- Credentials — Enter your API key or local admin login
- Site Selection — CaptiFi discovers your UniFi sites; choose which to manage
Step 3: Configure Your Venue
After device/controller setup:
- Venue Type — Select your business type (restaurant, bar, hotel, café, etc.)
- Venue Name — Confirm your business name
- Goals — What you want to achieve with CaptiFi
Step 4: Name Your WiFi Network
The onboarding asks for your WiFi network name (SSID) — the network guests will see and join. A sensible default based on your venue name is suggested.
Your branded splash page starts from a clean default; design it properly after onboarding using the Splash Page Builder (My Locations → Edit splash) — logo, colours, sign-in fields, and custom questions.
After Onboarding
Once complete, you'll land on your dashboard. From here:
- If CaptiFi device: Wait for delivery, then plug in and enter the activation PIN on the device's setup page — see the Quick Start Guide
- If UniFi: Configure the captive portal settings on your UniFi controller
- Start collecting guest data as soon as your device/AP is online
What Happens Next?
- Device arrives → Plug in → Enter PIN → Go live
- Guests connect → Data starts appearing in your dashboard
- Set up integrations → Google Reviews, Mailchimp, etc.
- Create campaigns → Send your first email campaign
- Monitor analytics → Track performance and optimise
