Customer Onboarding

When you first log in to CaptiFi, a guided onboarding wizard walks you through setting up your venue. This takes about 5-10 minutes.

Step 1: Choose Your Device

You'll see two options:

Option A: CaptiFi Plug & Play (Recommended)

• Pre-configured WiFi 6 access point
• Just plug in and enter a PIN — no networking knowledge needed
• Ships free to your address
• Includes power adapter and Ethernet cable
• Requires a £60 refundable device deposit (refunded after 12 months or on return)

Option B: UniFi Integration

• Use your existing Ubiquiti UniFi access points
• Requires a UniFi controller (UDM, Cloud Key, or self-hosted)
• No additional hardware cost
• More technical setup required

Step 2: Setup (varies by device choice)

If you chose CaptiFi Plug & Play:

1. Delivery Address — Enter where to ship your device
   • Full address with autocomplete
   • Map preview to confirm location
2. Payment — £60 refundable device deposit via Stripe
   • Supports GBP, USD, EUR (auto-detected by country)
   • Refunded after 12 months of service or when you return the device
3. Confirmation — You'll receive:
   • Order confirmation email
   • Shipping notification with tracking
   • Device typically arrives in 2-3 business days (UK)

If you chose UniFi:

1. Controller Type — Choose:
   • Self-Hosted / Cloud Key (enter your controller URL)
   • UniFi Cloud API (connect via Ubiquiti account)
2. Credentials — Enter your UniFi admin username and password
3. Site Discovery — CaptiFi discovers your UniFi sites and APs
4. Site Selection — Choose which sites to manage
5. Import — Sites and access points are imported

Step 3: Configure Your Venue

After device/controller setup:

1. Venue Type — Select your business type (restaurant, bar, hotel, café, etc.)
2. Venue Name — Confirm your business name
3. Goals — What you want to achieve with CaptiFi

Step 4: Design Your Splash Page

The onboarding includes a simplified splash page editor:

1. Upload your logo
2. Set your brand colours
3. Choose login fields (email, name, phone)
4. Write your welcome message
5. Preview on mobile and desktop

You can refine your splash page later using the full editor.

After Onboarding

Once complete, you'll land on your dashboard. From here:

• If CaptiFi device: Wait for delivery, then plug in and enter the enrollment PIN from your welcome email
• If UniFi: Configure the captive portal settings on your UniFi controller
• Start collecting guest data as soon as your device/AP is online

What Happens Next?

1. Device arrives → Plug in → Enter PIN → Go live
2. Guests connect → Data starts appearing in your dashboard
3. Set up integrations → Google Reviews, Mailchimp, etc.
4. Create campaigns → Send your first email campaign
5. Monitor analytics → Track performance and optimise
