Email Automations & Audiences
Automations are emails that send themselves, triggered by guest behaviour — a welcome email after a first visit, a win-back offer when a regular stops coming in. Together with saved audience segments, they live under Email Marketing → Audiences.
Plan requirement: Email marketing is included on the Growth plan and above. See Plans & Pricing.
Where to Find It
- Log in to my.captifi.io
- Go to Email Marketing → Audiences
- Switch between the Segments and Automations tabs
Segments
Segments are saved groups of guests — for example new guests, regulars, or guests who haven't visited in 60+ days. Use them to:
- Target a specific group in the campaign wizard instead of emailing everyone
- Power automations that watch for guests entering the segment
Automations
Automations send an email automatically when their trigger fires. Typical automations:

Each automation pairs a template with a trigger and its timing, and can be switched on and off without deleting it. Only guests who opted in to marketing are emailed, and frequency limits stop the same guest being emailed repeatedly.
Best Practices
- Start with a welcome email — the highest-performing automation type
- Mind the timing — send welcomes promptly; review requests a few hours after the visit
- Don't overdo it — 2-3 active automations is plenty for most venues
- Check results monthly — pause anything that isn't earning opens and clicks
- Pair with segments — a win-back automation plus a "lapsed guests" segment is the classic combo
Troubleshooting
| Issue | Solution |
|---|---|
| Automation not sending | Check it's switched on and your sending domain is verified (Email Marketing → Settings) |
| Guests receiving too many emails | Increase the frequency limit or pause overlapping automations |
| Wrong content going out | Edit the automation and check which template it uses |
| Nothing in the Automations tab | Automations may not be enabled for your plan — contact support |
